What the Concierge Service Addendum Is and When It Applies

A Concierge Service Addendum is a contract attachment that defines supplemental services, response times, fees, and client expectations for concierge-style support tied to a primary agreement. It clarifies scope, deliverables, service levels, payment terms, and dispute procedures so both parties share a single reference for additional or premium services. Typical uses include after-hours assistance, dedicated account coordination, priority scheduling, travel coordination, or on-demand tasks not covered by the base contract. Properly drafted addenda reduce ambiguity and support enforceability when executed by authorized signatories.

Why a Concierge Service Addendum Matters for Risk and Performance

A clear addendum protects parties by defining expectations, limiting liability, and documenting pricing and escalation procedures; it supports dispute resolution and reduces unplanned cost exposure while preserving the primary contract's terms.

Why a Concierge Service Addendum Matters for Risk and Performance

Who Typically Prepares or Signs This Addendum

Signatories are generally authorized representatives—contract managers, operations directors, or named officers—whose authority should be verified before execution to avoid disputes.

  • Property managers and leasing firms offering tenant concierge or move-in support.
  • Healthcare providers arranging nonclinical patient logistics under HIPAA-compliant processes.
  • Wealth management or private client teams providing personalized client services.

Essential Sections to Include in a Professional Addendum

A concise addendum organizes obligations, scope, timelines, fees, responsibilities, and termination mechanics so each party can quickly locate and enforce specific provisions without reopening the main contract.

Scope of Services

Explicit list of services included, frequency, locations, and any exclusions to prevent scope creep.

Service Levels

Response and resolution targets, hours of coverage, and escalation procedures tied to measurable metrics.

Fees and Billing

Fee schedule, invoicing frequency, late-payment interest, and reimbursement of expenses.

Term and Renewal

Effective date, term length, auto-renewal conditions, and required notice for nonrenewal.

Liability Limits

Caps on damages, indemnity obligations, and exclusions for consequential loss or third-party claims.

Termination Rights

Events of default, cure periods, and post-termination wind-down responsibilities.

Required Administrative and Compliance Information

Parties: Legal names and entity type
Effective Date: MM/DD/YYYY
Scope Summary: Brief service description
Fees: Rate table or reference
Signatory: Name and title
Compliance: Applicable privacy/regulatory notes

  • 02
Define Scope: List services, hours, and exclusions
  • 03
Set Fees: Detail rates, billing, and expenses

Field Configuration
Template Setup Create reusable template with fixed clauses
Authentication Email link, SMS code, or stronger KBA
Conditional Fields Show fields only when relevant
Audit & Retention Enable audit trail and secure storage

Where to Send and How Signatures Are Collected

A typical routing sequence ensures every required party reviews and signs the addendum in the correct order and receives a copy on completion.

  • Upload Document: Host a final PDF or DOCX in the signing platform
  • Place Fields: Add signature, date, and initial fields where needed
  • Add Signers: Enter signers, roles, and signing order
  • Send for Signature: Distribute via email link or direct invite

Technical and Delivery Options for Electronic Execution

  • File Formats: PDF, DOCX, HTML supported
  • Authentication: Email, SMS, or advanced methods

Typical Timelines, Turnaround, and Notice Periods

Common Mistakes to Avoid When Preparing the Addendum

  • Using vague service descriptions that lead to disputes and scope creep rather than measurable obligations.
  • Failing to confirm signer authority, which can render the addendum unenforceable in a dispute.
  • Omitting clear fees or expense reimbursement rules, creating unexpected cost liabilities for one party.
  • Skipping termination or cure provisions and leaving parties without formal exit or remediation steps.

Potential Legal and Financial Risks of an Improper Addendum

Contract Voidance: Loss of enforceability
Service Disputes: Costly litigation or arbitration
Indemnity Exposure: Broad indemnities increase liability
Regulatory Breach: Privacy noncompliance penalties
Billing Errors: Missed invoices and disputes
Invalid Signature: Execution defects may invalidate
