What a Concrete Request Agreement Is and When It Applies

A Concrete Request Agreement is a written procurement document used to request delivery of ready-mix or specialty concrete for a defined project. It records parties, mix specifications (strength, slump, admixtures), quantities, delivery schedule, site access, pricing, payment terms, testing and acceptance criteria, and change-order procedures. The agreement helps align contractor, supplier, and project manager expectations and provides a clear basis for invoicing, quality control, dispute resolution, and project records throughout construction work.

Why a Clear Concrete Request Agreement Matters

A well-prepared Concrete Request Agreement reduces delivery errors, clarifies liability for nonconforming material, and documents acceptance and payment terms to limit disputes.

Why a Clear Concrete Request Agreement Matters

Typical Parties That Use a Concrete Request Agreement

Key users and signers vary by project size and contracting model.

  • General contractors and construction managers who order materials and manage on-site acceptance.
  • Concrete suppliers and ready-mix producers responsible for mix design, batching, and delivery logistics.
  • Project owners, engineers, or consultants who specify performance criteria and approve final acceptance.

Use this document to create a consistent record for procurement, delivery, testing, and payment.

Core Elements to Include in a Professional Request

Include concise, enforceable sections that make technical, commercial, and logistic obligations explicit so all parties can verify compliance and schedule work.

Parties

Full legal names and contact details for requester, supplier, and project representative so notices and invoices reach authorized recipients without ambiguity.

Scope & Specs

Concrete mix specifications (compressive strength, slump, aggregate type, admixtures), applicable standards (ASTM), and referenced plans or drawings required for acceptance testing.

Quantity & Units

Precise quantity, unit of measure (cubic yards), tolerance ranges, and minimum batch size to avoid disputes over partial deliveries and shortfalls.

Delivery Terms

Delivery location, permitted delivery hours, site access instructions, traffic routing, and delay/liquidated damages provisions for missed delivery windows.

Price & Payment

Unit price, lump-sum allowances, tax responsibility, invoicing frequency, payment terms (Net 30), and conditions for withholding payment pending testing.

Acceptance & Testing

Sampling protocol, test methods, acceptance thresholds, corrective action for nonconforming material, and final acceptance sign-off procedures.

Step-by-Step: Creating and Issuing the Request

Follow these sequential steps to prepare, approve, and transmit the Concrete Request Agreement to the supplier for performance and recordkeeping.

  • 01
Prepare the request: Compile specs, quantity, and site details.
  • 02
Complete fillable fields: Enter IDs, dates, and contacts precisely.
  • 03
Obtain internal approvals: Project manager and QA sign-off before send.
  • 04
Send to supplier: Transmit via chosen eSignature or procurement system.

Configuring an Online Workflow for Requests

Set up a repeatable digital workflow so each request follows the same approval, delivery, and archival path with auditability.

Field Configuration
Authentication Method Email link, SMS code, or multi-factor authentication.
Template Reuse Save standard specs as a reusable template for consistency.
Conditional Fields Show alternate fields when special mixes or additives are selected.
Notifications & Storage Automated email alerts and archive to project folder.

Technical and File Requirements for Digital Submission

Use PDF or DOCX files with clearly marked signature and initial fields for reliable processing across systems.

  • File Formats: PDF, DOCX, or fillable forms.
  • Integrations: Salesforce, NetSuite, Procore supported.
  • Audit Requirements: Timestamp, IP, and action log.

Where to Send and Store a Completed Request

Route the signed agreement to project stakeholders and store it in the central project record so delivery, testing, and payment steps can be validated.

  • Supplier Contact: Send signed copy to nominated supplier email address.
  • Procurement File: Archive in the project procurement folder.
  • Project Manager: Notify PM and QA for scheduling and acceptance.
  • Accounts Payable: Provide invoice and signed request for payment processing.

Common Timelines and Deadlines to Include

Define response, delivery, testing, and payment deadlines explicitly to set expectations and enable enforcement of remedies or penalties.

Supplier Response Time:

48 hours to accept or propose adjustments.

Delivery Window:

Specify start and end times or date ranges per batch.

Testing Window:

Allow 7 days for sample testing and lab results.

Payment Terms:

Net 30 from invoice date unless otherwise agreed.

Dispute Notice:

10 business days to notify supplier of defects.

Key Project Milestones from Request to Final Acceptance

Track the request lifecycle with numbered milestones so responsibility and timing are clear throughout delivery and acceptance.

01

Request Issued

Requester submits specs and quantity to supplier for scheduling.

02

Supplier Acceptance

Supplier confirms capacity, mix design, and delivery schedule.

03

Delivery Performed

Batches delivered to site and logged on delivery tickets.

04

Final Acceptance

QA/testing confirms compliance and authorizes payment release.

Common Preparation Errors to Avoid

  • Incomplete mix specifications that omit strength, slump, or admixtures cause rejection at pour and project delays if substitutions are made without written agreement.
  • Unclear site access or delivery windows lead to missed deliveries, demurrage, or extra mobilization charges for supplier and can halt pours.
  • Failing to document acceptance criteria and sampling procedures opens disputes over rejected loads and can delay payment cycles.
  • Not aligning invoicing details (PO numbers, contract references) with supplier systems causes payment delays and additional administrative overhead.

Penalties and Legal Risks of an Incorrect Request

Late Delivery Penalty: Liquidated damages may apply.
Nonconforming Material: Rejection and replacement costs.
Payment Disputes: Withholding or slow payment risk.
Safety Liability: Injuries from improper material handling.
Tax Consequences: Incorrect billing may affect tax reporting.
Regulatory Noncompliance: Permitting or inspection violations possible.
