What a Construction As-Built Document Is

A Construction As-Built Document records the final built condition of a project after construction is complete, showing deviations from design drawings, exact locations of installed systems, and final materials. It typically includes annotated drawings, redlines, field notes, change orders, and verified dimensions used for permit closeout, owner handover, facility management, and future renovations. As-builts serve as the authoritative reference for maintenance, warranty claims, and record-keeping and are commonly prepared by the contractor and reviewed or stamped by the licensed design professional when required by local code or contract terms.

Why a Complete As-Built Document Matters

Accurate as-builts reduce dispute risk, speed permit and occupancy sign-off, support warranty and O&M activities, and provide a durable record for future work. They clarify what was actually built versus the design intent.

Why a Complete As-Built Document Matters

Who Prepares and Uses As-Built Documents

Clear ownership and a defined deliverable schedule help ensure timely, usable as-built documentation at project completion.

  • General contractors and subcontractors responsible for field verification and redline submissions.
  • Architects and engineers who review, stamp, or certify final record drawings.
  • Owners, facilities managers, and lenders who use as-builts for operations and future work.

Step-by-step: Assemble an As-Built Package

Follow a consistent sequence to collect field data, reconcile changes, and produce the final package for review and delivery.

  • 01
Survey: Collect field measurements and mark deviations from design.
  • 02
Redline Drawings: Update plans with measured changes and annotate reasons for change.
  • 03
Compile Records: Assemble change orders, submittals, tests, and O&M manuals.
  • 04
Review & Stamp: Submit to designer/licensed professional for review and required stamping.

Typical Digital Workflow Settings for As-Builts

Configure a reusable workflow to collect redlines, approvals, and final sign-offs efficiently.

Field Configuration
Document Template Use core drawing set with redline layers enabled
Required Signers Contractor, Architect, Owner
Authentication Email link or SMS code; stronger methods for licensed stamps
Retention Policy Assign 7–10 year retention by project type

Digital Submission Flow for As-Built Documents

A clear sequential flow reduces rework: upload, annotate, validate, obtain approvals, and archive the final package.

  • Upload: Submit files in PDF or DOCX with embedded drawings.
  • Annotate: Apply redlines, comments, and measured dimensions.
  • Approve: Obtain required sign-offs and professional stamps.
  • Archive: Save final package with audit trail and versioning.

Digital Platform Considerations for As-Builts

Ensure the platform supports licensed-professional stamp workflows, long-term retention exports, and retains a comprehensive audit trail for legal and operational use.

  • File Types: PDF, DOCX, DWG, TIFF
  • Integrations: Procore, Google Drive, Box
  • Security: TLS and AES-256 encryption

Key Elements Every Professional As-Built Package Should Include

A compliant, useful package combines graphical, documentary, and administrative items to support handover and future work.

Record Drawings

Complete, scaled drawings annotated to show all field-verified changes from the original design, including elevations, routing, and access panels.

Redline Notes

Readable redline layer or separate document describing who made changes, date, and reason for each deviation from contract drawings.

Change Orders

Signed change orders and variation approvals that explain scope and price changes tied to as-built items.

Test Reports

Commissioning and testing documents for systems installed, including results and corrective actions taken during commissioning.

Manufacturer Data

Equipment data sheets, serial numbers, warranties, and spare parts lists linked to installed items on the drawings.

Certifications

Professional stamps, permits closeout confirmation, certificate of occupancy references, and any required regulatory approvals.

Supporting Documents to Attach

Attach documents that show provenance and operational readiness for installed systems and materials.

O&M Manuals

Detailed operation and maintenance manuals for installed equipment, including maintenance schedules and vendor contact information for replacements and service.

Warranty Records

Executed warranty forms and start dates tied to final acceptance, indicating coverage periods and claim procedures for each manufacturer.

Inspection Certificates

Final inspections, code compliance reports, and third-party testing certificates required by authority having jurisdiction or contract.

Lien Waivers

Final conditional or unconditional lien waivers from contractors and major subcontractors evidencing payment status at closeout.

Best Practices for Clear, Legally Sound As-Builts

Adopt standardized formats and responsibilities to reduce disputes and speed approvals.

Define Deliverables Early
Specify the expected file format, stamping requirements, and responsible party in the contract to prevent ambiguity at closeout.
Use Version Control
Keep a single source of truth with version numbers and dates to avoid mixing interim redlines with the final record set.
Preserve Audit Trails
Retain signer identities, timestamps, and change logs for each submission to support future claims and regulatory reviews.
Coordinate with Authorities
Engage the local permitting authority or design professional early to confirm any jurisdictional stamping or filing requirements.

Common Pitfalls to Avoid

  • Submitting incomplete redlines or missing field measurements that trigger rework and permit delays.
  • Not obtaining required licensed-professional stamps before filing, resulting in rejected submissions.
  • Failing to archive signed versions and audit trails, complicating warranty or dispute resolution.
  • Using inconsistent formats or mislabeled drawings that cause confusion for facilities staff and future contractors.
