What the Construction Concrete Material document is

A Construction Concrete Material is a formal record used to document the supply, delivery, quality, and acceptance of concrete used on a construction project. Typical forms capture project identifiers, supplier details, mix design or specifications, batch or ticket numbers, delivered quantities, delivery dates and times, onsite inspection results, and signatures for acceptance. The document functions as evidence for payment, quality control, lien rights, and regulatory compliance and is often attached to progress invoices, change orders, and final acceptance records.

Step-by-step: preparing a Construction Concrete Material record

Follow these sequential steps when creating and approving a material delivery and acceptance record for concrete.

  • 01
Gather project data: Collect contract number, site address, and contact information before filling fields.
  • 02
Record supplier details: Enter supplier name, truck ID, and ticket number to link the delivery.
  • 03
Log mix and quantity: Document mix design, target strength, and delivered cubic yards with measurement units.
  • 04
Inspect and sign: Perform visual and slump checks, attach test results, then sign for acceptance.

Typical electronic workflow for material delivery records

A standard e-submission flow reduces paper handling and preserves an audit trail for every delivery and approval.

  • Upload document: Attach the delivery ticket or populate the template with project and supplier details.
  • Add fields: Place fillable fields for quantity, mix spec, test results, and signatures on the form.
  • Send to approver: Email or link the record to the project inspector or contract administrator for review.
  • Capture audit trail: Record timestamps, IPs, and signer identity for future verification and dispute support.

Common settings when configuring an online material form

Configure these workflow settings when you upload or create the Construction Concrete Material template online.

Field Configuration
Signature Type Allow typed, drawn, or certified signatures
Authentication Use email or SMS code verification
Integrations Export to Procore, ERP, or cloud storage
File Formats Support PDF and DOCX for archival and edits

Platform needs and integrations for e-submitting the form

Confirm the document format and integration points required by your project management and accounting systems before sending.

  • File formats: PDF and DOCX are commonly accepted
  • Integrations: Connectors for Procore, NetSuite, and Google Workspace
  • Authentication: Email, SMS code, or enterprise SSO

Use a platform that preserves an audit trail and supports your preferred integrations to streamline invoicing, testing records, and compliance workflows.

Essential components of a professional material delivery record

A complete Construction Concrete Material record contains technical, administrative, and acceptance elements that support payment and quality assurance.

Project ID

Clear project name and contract number that link the delivery to purchase orders and payment applications; critical for matching invoices.

Supplier Data

Supplier legal name, address, contact, and truck/trailer identifiers to verify chain of custody and responsibility for delivered material.

Mix Specification

Concrete grade, compressive strength, admixtures, and reference to ASTM test methods to confirm compliance with contract requirements.

Delivery Details

Date, time, ticket or batch number, and measured volume with units; this documents exactly which load was used on site.

Quality Checks

Onsite slump, temperature, and sample IDs with links to lab results or field tests demonstrating acceptance or rejection criteria.

Acceptance

Named approver, printed title, signature, and date to evidence transfer of title, acceptance for payment, and start of any warranty period.

Key security and compliance considerations

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Timestamped actions and IP address logs
Certifications: SOC 2 Type II and ISO 27001
HIPAA Support: BAA available where required
21 CFR: Supports 21 CFR Part 11 workflows
Accessibility: WCAG 2.0 Level AA compliant

Common risks and consequences of incomplete or incorrect records

Payment Delay: Missing acceptance can stop invoice approval
Lien Exposure: Inadequate records complicate lien enforcement
Quality Disputes: Insufficient test data hinders remediation claims
Contract Breach: Noncompliance with specs risks owner claims
Record Rejection: Unsigned forms may be invalid for payment
Regulatory Risk: Failure to retain may breach agency rules

Real-world examples of material records in use

These condensed cases show practical outcomes when digital material records are used for construction workflows.

Martin Properties (Tim Martin)

Their crew processed delivery tickets online to avoid paper loss on site and accelerate billing

  • Digital records matched field samples to tickets quickly
  • The result was consistent, auditable acceptance records that reduced invoice disputes and sped payment reconciliation across multiple projects.

BIS (Dan Rotelli)

BIS centralized project documents and electronic acceptance forms to enforce QA processes

  • Onsite inspectors used mobile devices to sign and attach test data
  • Centralized, time-stamped records simplified claims, improved compliance, and preserved chain-of-custody for each concrete load.

Best practices for accurate and efficient completion

Adopt these practical steps to reduce errors, speed approval, and strengthen the evidentiary value of each delivery record.

Standardize templates
Use a single, project-approved template for all deliveries so fields, IDs, and data formats are consistent across suppliers and subcontractors; this reduces reconciliation time and prevents missing data during invoice processing.
Require key fields
Make project ID, ticket number, mix spec, delivered quantity, and signature required fields; enforce formats like MM/DD/YYYY for dates to avoid parsing errors when exporting to ERP systems.
Attach test data
Always attach slump, temperature, and lab sample IDs or hyperlinks to lab reports; linked test evidence is crucial for acceptance, warranty proof, and dispute resolution.
Preserve audit trail
Ensure electronic submissions capture signer identity, timestamp, and IP address; retain tamper-evident copies for the retention period required by contracts and applicable law.
