What Construction Drawings & Specifications Are

Construction Drawings & Specifications are the combined graphical and written instructions that define the scope, materials, dimensions, tolerances, and execution methods for a building or infrastructure project. Drawings provide plans, elevations, sections, and details; specifications describe materials, workmanship, testing, and quality requirements. Together they form the contract documents used by contractors, subcontractors, inspectors, and permitting authorities to price, build, and verify work against the owner’s requirements and applicable codes.

Why clear drawings and specs matter

Accurate Construction Drawings & Specifications reduce disputes, limit change orders, speed permitting, and clarify acceptance criteria for inspections and closeout. They protect contractual expectations and support claims or warranty enforcement when needed.

Why clear drawings and specs matter

Who prepares, reviews, and relies on these documents

Multiple project stakeholders create, review, or sign off on drawings and specifications during design, bidding, construction, and closeout.

  • General contractors and subcontractors who price work and build per the documents.
  • Architects and engineers who prepare and stamp drawings for code compliance.
  • Owners, developers, and construction managers who approve scope and accept deliverables.

Each party uses drawings and specs differently — from technical compliance checks to commercial bid analysis — so versions and approvals must be tracked precisely.

Core parts of professional construction drawings and specifications

A professional set groups common document types and clear cross-references so field teams and reviewers can find requirements quickly and apply them without ambiguity.

Cover Sheet

Project name, location, index of drawings, revision block, owner/engineer contact, and overall project notes for administrative clarity and filing.

Drawing Index

Ordered list of sheets and disciplines with sheet numbers and revision dates to ensure teams reference the current drawing set.

Site Plans

Property lines, topography, utilities, easements, grading, and layout controls that affect all trades and permitting requirements.

Architectural

Plans, elevations, sections, schedules, and finish notes that govern layout, materials, and aesthetic requirements.

Structural/MEP

Load-bearing systems, mechanical, electrical, and plumbing diagrams with capacities, materials, and connection details for construction safety.

Specifications

Division-and-section organized text defining material standards, testing, submittal requirements, and quality control procedures.

Essential identifying information to include

Project Name: Full project title
Project Address: Street, city, state, ZIP
Owner / Client: Legal entity name
Design Professional: Architect/engineer name
Revision Number: Revision identifier and date
Scale & Sheet: Drawing scale and sheet designation

Step-by-step: preparing and issuing a drawing set

Follow this sequence to produce, review, and distribute a controlled drawing and specification package for bidding or permit submission.

  • 01
Draft Set: Prepare initial coordinated drawings and specs.
  • 02
Internal Review: Design team checks for conflicts and code compliance.
  • 03
Issue for Permit: Submit stamped set to authority having jurisdiction.
  • 04
Issue for Construction: Distribute approved, current revision set to contractors.

Configuring an online workflow for drawings and specs

Set up a repeatable digital workflow that tracks versions, signoffs, and distribution to reduce rework and speed approvals.

Field Configuration
Upload Format PDF/A or DOCX with flattened drawings for viewing
Version Control Require revision number and date on each upload
Approval Routing Sequential approvals: architect → engineer → owner
Access Control Role-based access for view, comment, or sign

Where to send drawings, approvals, and permit submissions

Use clear routing so each stakeholder knows their action and the destination for record copies and permit filings.

  • Building Department: Submit stamped permit set for review.
  • Owner / CM: Deliver approved digital set for bidding and procurement.
  • Contractors: Provide current construction set and addendums.
  • Project Archive: Store record drawings after substantial completion.

Digital formats and platform capabilities to support

Choose platforms that handle common construction formats, versioning, and authenticated approvals for legal and permitting use.

  • File formats: PDF, PDF/A, DWG export via attachments
  • Integrations: Connectors for Procore, Box, Google Workspace
  • Authentication: Email, SMS, or advanced signer authentication

Ensure the chosen platform retains an audit trail, preserves original file fidelity, and supports bulk distribution to expedite review and permit cycles.

Typical deadlines and review time expectations

Timelines vary by jurisdiction, but tracking critical dates prevents permit delays and schedule impacts during bidding and construction.

Permit Submission Deadline:

Based on project schedule; allow two to eight weeks for review

Plan Review Turnaround:

Often 2–6 weeks depending on jurisdiction workload

Bid Issue and Close:

Issue drawings and specs at least 2–4 weeks before bid closing

Revision Response Time:

Allow 3–10 business days for minor revisions

Record Drawing Submission:

Submit as-built set at project closeout per contract

Common preparation and coordination errors

  • Omitting revision history which causes contractors to use superseded drawings and incur rework.
  • Inconsistent or missing dimensions between architectural and structural drawings leading to field conflicts.
  • Unclear specification references that leave material acceptance open to interpretation and delay procurement.
  • Not providing stamped or sealed pages when the jurisdiction requires a licensed professional’s stamp, triggering permit rejection.

Business and regulatory risks of incorrect documents

Permit Delay: Project schedule impacts
Cost Overruns: Change order expenses
Rework: Labor and material waste
Liability Exposure: Increased legal risk
Contract Breach: Potential claims and damages
Inspection Failure: Remediation and fines
