What Construction Wall Cladding Submittals Are

Construction Wall Cladding Submittals are formal submissions from manufacturers, fabricators, or contractors that supply product data, shop drawings, samples, test reports and installation instructions for exterior cladding systems. They document compliance with contract specifications, applicable codes, and performance criteria, and provide the architect and owner with information needed for review and approval before fabrication or installation may proceed.

Why a Complete Submittal Matters

Accurate submittals reduce delays, limit change orders, and establish an auditable record of compliance with design specifications and code requirements.

Why a Complete Submittal Matters

Who Prepares and Reviews These Submittals

Several project stakeholders prepare, review, and rely on wall cladding submittals during design and construction phases.

  • Contractors and subcontractors who supply or install cladding — responsible for assembling complete packages and coordinating manufacturer data with shop drawings.
  • Architects and design consultants — review for compliance with contract documents, aesthetics, and code requirements before issuing approval or comments.
  • Owners, building officials, and commissioning agents — use submittals to confirm performance, warranty coverage, and regulatory conformance.

Timely and correct submissions streamline approvals and reduce downstream disputes during fabrication, delivery, and installation.

Who Signs and Certifies Submittals

General Contractor — Project Manager

Assembling the submittal package, the project manager certifies that submitted materials and shop drawings conform to contract requirements and coordinates any required field mock-ups or test reports with the manufacturer.

Manufacturer — Technical Rep

The manufacturer's technical representative provides product data, test certificates, and installation instructions, and signs declarations that the product meets specified ratings and warranty conditions.

Core Components of a Professional Wall Cladding Submittal

A complete submittal compiles technical data, detailed drawings, physical samples, testing evidence, mock-up outcomes, and certification to demonstrate compliance with the project specification.

Product Data

Manufacturer specifications including materials, finishes, dimensions, fire rating, thermal and moisture performance, and relevant code classifications for the exact product model.

Shop Drawings

Scaled detailed drawings showing panel layout, attachment methods, fastener schedules, flashings, and interfaces with adjoining trades for fabrication and installation.

Material Samples

Physical or color-matched samples of cladding, trim, and sealants to verify finish, color, texture and substrate compatibility as required by the contract.

Test Reports

Third-party lab reports for structural load, air and water infiltration, fire performance, and other specified tests demonstrating compliance to standards.

Mock-up Results

Field mock-up observations and acceptance documentation showing actual assembly performance and aesthetic approval before bulk installation.

Certificates & Warranties

Manufacturer certificates of compliance, third-party approvals, and warranty statements that detail coverage terms and start dates.

Step-by-Step: Preparing and Submitting a Cladding Submittal

Follow these steps in order to assemble and route a complete submittal for architectural review and contractor records.

  • 01
Assemble Package: Gather product data, shop drawings, samples, and test reports into one PDF.
  • 02
Complete Cover Sheet: Fill project ID, spec section, manufacturer, and submittal date.
  • 03
Route for Review: Send to architect, structural consultant, and owner for sequential or parallel review.
  • 04
Record Approval: Capture approval stamps, revision notes, and store final signed package.

Configure Your Digital Review Workflow

Set up routing, authentication, and required approvers so digital submittals follow the same control path as paper-based reviews.

Field Configuration
Routing Sequential or parallel reviewer order
Approval Order Architect → Structural Engineer → Owner
Notifications Email and optional SMS reminders
Attachments Allow PDF, DWG, TIFF, and image files

Where to Send and How Reviews Flow

Submittal routing typically follows a defined chain; understanding each destination speeds review and reduces rework.

  • Architect Review: Primary technical and aesthetic review for specification conformance.
  • Structural Review: Checks attachment methods, loads, and structural compatibility.
  • Code Official: Local jurisdiction review for permit conditions when applicable.
  • Owner / CM: Final acceptance and record retention for warranty start.

Digital Submission and Platform Considerations

Choose a platform that supports PDF, DWG, and image attachments, preserves metadata, and provides an audit trail.

  • File Types: PDF, DOCX, DWG, TIFF, JPEG
  • Security: TLS in transit; AES-256 at rest
  • Integrations: Procore, Box, Google Workspace

Ensure your chosen service supports role-based routing, version control, and long-term retention to meet project and regulatory needs.

Typical Review Timelines and Deadlines

Establish clear review windows and submission lead times to align fabrication and delivery schedules with approval cycles.

Initial Submission Lead Time:

Allow 2–4 weeks for complete review before fabrication.

Resubmission Window:

Allow 1–2 weeks for corrected resubmittals.

Mock-up Approval:

Schedule 1–3 weeks including field adjustments.

Expedited Review:

Request documented justification for under 5 business days.

Record Retention Start:

Retention begins on final accepted submittal date.

Key Project Milestones for Cladding Submittals

Track these sequential milestones to coordinate approvals, fabrication, delivery, and installation without interruption.

01

Submittal Preparation

Compile package and verify completeness prior to submission.

02

Review & Comment

Architect and consultants provide comments or conditional approval.

03

Corrective Resubmittal

Address comments and resubmit revised documentation.

04

Final Acceptance

Approved package authorizes fabrication and triggers warranty timelines.

Common Mistakes to Avoid

  • Submitting incomplete test reports or outdated product data that creates uncertainty for reviewers and causes repeated resubmissions.
  • Failing to match shop drawings to the specified product model and finish code, which often results in fabrication delays and costly rework.
  • Neglecting to include interface details with adjacent systems, leading to coordination conflicts during installation and sealant failures.
  • Omitting signed certifications or manufacturer warranties, which can void acceptance and delay project closeout and payment.

Risks and Consequences of Incorrect Submittals

Schedule Delay: Extended review cycles
Increased Cost: Change orders and rework
Warranty Issues: Rejected warranty claims
Code Noncompliance: Permit delays or violations
Liability Exposure: Claims for defects
Payment Withholding: Owner retains funds

Real-World Submittal Examples

The following brief examples show how submittals resolve real project needs and streamline approvals.

High-Rise Renovation

A general contractor submitted coordinated shop drawings and mock-up results for a 20-story façade project to expedite permit approval.

  • The mock-up confirmed flashing details.
  • Final acceptance reduced expected installation rework and kept the project on schedule while meeting municipal review conditions.

Public School Addition

Manufacturer supplied third-party test reports and long-term finish maintenance instructions to satisfy owner requirements.

  • Tests showed required fire and water performance.
  • The documentation enabled timely procurement, ensured compliance with funding conditions, and simplified warranty management for the district.

Practical Tips for Faster, Clearer Submittals

Adopt these practices to reduce review cycles and avoid common approval delays on cladding projects.

Standardize Cover Sheets
Use a consistent cover sheet with project identifiers, spec section, and table of contents so reviewers can quickly locate required attachments.
Number Revisions Clearly
Track versions with revision dates and cloud-based version control to prevent fabrication from proceeding on superseded drawings.
Attach Test Certificates
Include laboratory test summaries and full reports; highlight pass criteria relevant to the specification to speed technical review.
Use Digital Tools
Route submittals through a platform that preserves originals, records approvals, and timestamps actions for auditability and dispute resolution.
