What the Contractor Client Communication Form Is and When It’s Used

A Contractor Client Communication Form documents project-related messages between a contractor and a client, including scope clarifications, requests for information, proposed change orders, approvals, and scheduling updates. It creates a concise, dated record of each interaction, captures responsibilities and next steps, and supports billing and dispute-resolution workflows. The form is typically adapted to the project and can be executed electronically under U.S. e-signature laws such as ESIGN and applicable state UETA or ESRA statutes.

Why a Clear Communication Record Matters

Using a standardized communication form reduces misunderstandings, creates an auditable trail for approvals, speeds decision-making, and supports timely payment and claims management while enabling lawful electronic signing and retention under ESIGN and state e-signature law.

Why a Clear Communication Record Matters

Typical Users and Roles

The Contractor Client Communication Form is used by multiple parties on a project team to ensure consistent, signed documentation of decisions and requests.

  • General contractors documenting site instructions, coordination items, and change requests with clients and subcontractors.
  • Subcontractors and trades confirming directions, materials approvals, and scheduling to maintain payment records and scope clarity.
  • Owners, property managers, or clients approving changes, tracking deliverables, and recording acceptance or rejection of requested work.

Consistent completion across these roles improves traceability, reduces disputes, and supports compliance with contractual and regulatory recordkeeping requirements.

Who Signs and Why

Project Manager

A project manager records the communication to confirm scope, assign follow-up, and create the official project log entry; this reduces later disputes and supports schedule and payment tracking.

Independent Contractor

An independent contractor documents requests for additional work or clarifications and signs to acknowledge receipt and acceptance of new instructions or change terms.

Essential Parts of a Professional Communication Form

A useful Contractor Client Communication Form is concise, timestamped, and structured so each entry captures who, when, what, and next steps — making it easy to review and act on.

Contact Details

Full legal names, company names, phone, email, and the role (owner, GC, subcontractor) so attribution is clear and notifications reach the right person.

Project Identifier

Project name, address, and contract number or purchase order to link the communication directly to the project records and billing codes.

Communication Log

Date and time of message, method (email/phone/site), and a concise summary of the issue, question, or instruction for auditability.

Action Required

Explicit next steps, responsible party, due date, and any estimated cost or schedule impact to avoid ambiguity later.

Attachments

Field to list or attach photos, drawings, or invoices that support the communication and preserve contemporaneous evidence.

Signature Block

Clear signature, printed name, title, and date; electronic signatures should include audit metadata to show intent and attribution.

Step-by-Step: Filling and Issuing the Form

Follow a short, consistent sequence each time to keep communications uniform and defensible in contract administration or claims.

  • 01
Gather Details: Collect names, project ID, supporting photos, and any referenced drawings.
  • 02
Record Message: Enter date, concise description, and list attachments or references.
  • 03
Assign Action: Specify responsible party, due date, and impact on schedule or cost.
  • 04
Sign and Distribute: Sign (or e-sign), then send to listed recipients and archive the final copy.

Typical Workflow from Notice to Archive

A repeatable workflow reduces friction and ensures every communication is tracked, resolved, and stored with supporting evidence.

  • Create Form: Populate fields, attach files, and set required approvers.
  • Route to Signers: Send via email or signing link in the prescribed signer order.
  • Signer Authentication: Authenticate via email code, SMS, or platform methods as required.
  • Archive Record: Save signed copy with audit trail to project records and backup storage.

Digital Workflow Settings to Configure

Configure the form workflow to match contract requirements and internal controls before sending to avoid rework and disputes.

Field Configuration
Signer Order Define sequential or parallel signing as contract requires.
Authentication Select email, SMS, or advanced methods for sensitive approvals.
Auto-archive Enable automatic storage to project folder and document management system.
Reminder Schedule Set periodic reminders and escalation for unsigned items.

Technical Options for Sharing and Signing

Choose delivery channels and integrations that align with your project systems and security needs.

  • Email and Links: Standard delivery for most signers and supports guest signing.
  • API & Integrations: Connect to systems like Salesforce, NetSuite, Procore, or Google Workspace for automated routing.
  • In-person or Kiosk: Use device-based signing for site-level acceptance or witness-required scenarios.

Align delivery with authentication and retention policies; choose integrations that reduce duplicate entry and ensure a single source of truth for project records.

Recommended Response Times and Internal Deadlines

Establish internal deadlines to keep communications actionable and to preserve rights under contract terms and notice windows.

Immediate Acknowledgement:

Acknowledge receipt within 24–48 hours to confirm the item is logged.

RFI Response Window:

Respond to requests for information within 5 business days or per contract.

Change Order Review:

Provide cost/schedule impact within 10 business days unless otherwise agreed.

Payment Application Timing:

Submit supporting communications with each monthly pay application to support invoicing.

Dispute Notice:

Provide formal dispute notice within the contract’s specified notice window, typically 10–30 days.

Common Preparation Mistakes to Avoid

Regulatory Noncompliance: Improper retention or privacy controls can violate recordkeeping rules.
Authentication Challenges: Unsigned or unauthenticated approvals may be challenged in court.
