What a Craft Show Agreement Covers

A Craft Show Agreement is a written contract between an event organizer and a vendor that sets the terms for participation at a craft fair, market, or pop-up. Typical content covers event dates and hours, booth location and size, setup and teardown times, fee and payment terms, permitted products, sales tax responsibilities, insurance and permit requirements, cancellation and refund rules, vendor conduct, signage and electrical access, and liability/indemnity provisions. The agreement creates a clear basis for enforcement, helps vendors prepare, and documents operational details needed by venue managers and local authorities.

Why a Written Agreement Matters for Organizers and Vendors

A clear Craft Show Agreement reduces disputes, documents insurance and permit requirements, allocates financial risk, and ensures vendors and organizers understand obligations. It also streamlines logistics—payments, booth assignments, and compliance checks—so events run predictably and vendors can plan their inventories and staffing.

Why a Written Agreement Matters for Organizers and Vendors

Who Typically Completes a Craft Show Agreement

Organizations of all sizes use this agreement to document expectations, secure payments, and manage insurance or permit verification before event day.

  • Event organizers and show promoters responsible for booth assignments and event rules.
  • Independent craft vendors, artisans, and food sellers agreeing to exhibit and sell items.
  • Venue managers or property owners who require compliance with site-specific rules.

Outdoor Summer Fair

A city-managed fair uses the agreement to collect sales tax registration info

  • Vendor lists product categories and power needs
  • Clear product restrictions and power fees reduced disputes and made fire-safety inspections faster on setup day.
