What Custom Business Screens Are and why they matter

Custom Business Screens are configurable form and interface templates used to capture structured business data, guide signers through role-specific fields, and enforce validation rules. They consolidate contract terms, identity fields, and workflow logic into a single document surface so teams can collect consistent inputs, preserve audit trails, and integrate signed records with back-office systems and repositories.

Benefits of using Custom Business Screens

Custom Business Screens reduce manual data entry, standardize signer interactions, and improve traceability. They help ensure legal disclosures are presented consistently, speed completion, and make records easier to retain or audit under common regulatory frameworks.

Benefits of using Custom Business Screens

Who typically builds and completes these screens

Roles across operations, legal, and IT commonly design and maintain Custom Business Screens to match internal controls and compliance needs.

  • IT administrators and integrators who configure connectors, single sign-on, and API mappings for automated storage and recordkeeping.
  • Business analysts and process owners who define required fields, conditional logic, validation rules, and display flows for different signer roles.
  • Compliance officers and records managers who set retention schedules, authentication levels, and audit requirements for regulated data.

Implementation typically requires collaboration across these groups to balance usability, legal adequacy, and IT security controls.

Core elements to include on a professional Custom Business Screen

A well-constructed screen balances clarity for the signer with built-in controls that support verification, routing, and recordkeeping across the transaction lifecycle.

Custom layout

Design multi-section pages with grouped fields and clear headings so signers complete related data in a single view and reduce entry errors.

Field types

Include text, date, numeric, checkbox, dropdowns, file upload and signature fields to capture necessary information and attachments.

Conditional logic

Show or hide fields based on prior answers to reduce clutter and ensure only relevant questions are asked of each signer.

Role-based views

Assign fields and edit permissions by role so reviewers, approvers, and signers see only the elements relevant to their task.

Validation rules

Use required fields, format checks, and calculated fields to prevent invalid entries and support downstream processing.

Audit trail

Capture timestamps, IP addresses, and action history for each signer to support legal admissibility and compliance audits.

Essential security and compliance controls

Signer authentication: Email, SMS codes, KBA options
Audit trail: Timestamps, IP, action log
Encryption: TLS 1.2/1.3 in transit
Data at rest: AES-256 encrypted storage
BAA availability: HIPAA BAA offered
Retention policy: Configurable retention rules

Step-by-step: create and publish a Custom Business Screen

Follow these key steps to design, test, and publish a screen so signers receive a consistent, compliant experience.

  • 01
Prepare the specification: Document required fields and legal language.
  • 02
Build fields: Add inputs, validation, and conditional rules.
  • 03
Assign roles: Map signer, approver, and viewer permissions.
  • 04
Publish and monitor: Deploy, test signer flow, then monitor completion metrics.

How to configure common workflow settings

Typical configuration options determine who authenticates, how fields behave, and where signed records are stored.

Field Configuration
Authentication Email link, SMS code, or KBA
ConditionalLogic Show/hide fields by response
DataRetention Set retention period per record
Notifications Email alerts on signer completion

Where to send completed screens and records

Decide destinations for signed outputs to support compliance, accounting, and CRM workflows.

  • Export PDF: Create PDF/A or standard PDF for archival.
  • Send to signers: Deliver via email or secure link for signature.
  • Store in repository: Push final record to Box, Google Drive, or your ECM.
  • Notify stakeholders: Trigger emails or system notifications on completion.

Technical compatibility and integration considerations

Confirm the integrations, file formats, and authentication methods required by your existing systems before deployment.

  • Integrations: Salesforce, NetSuite, Google Workspace connectors
  • File formats: PDF, DOCX, HTML, Excel supported
  • Authentication: SSO/SAML and multifactor options

Plan for API access or native connectors during testing to ensure completed screens flow into CRMs, ERPs, and document stores without manual steps.

Typical timelines and response expectations

Define clear internal review deadlines and external signer response windows to ensure timely completion and downstream processing.

Internal review window:

Allow 3–5 business days for legal or compliance review.

Signer response target:

Request signatures within 7–14 days to reduce follow-ups.

Automated reminders:

Send reminders at 3 and 7 days post-delivery.

Retention start date:

Retention usually begins on the signed effective date.

Revision window:

Limit edits post-signature; use amendment workflow if needed.

Common mistakes to avoid when preparing screens

  • Not defining clear field-level validation, which leads to inconsistent data and manual corrections after sign-off.
  • Using inconsistent naming or labeling across screens, causing integration errors when mapping to backend systems.
  • Failing to include required legal disclosures or consumer consent language, risking unenforceability under ESIGN/UETA.
  • Weak signer authentication that does not match the document's legal or regulatory risk profile, increasing repudiation risk.

Top risks and potential consequences

Contract unenforceability: Missing intent/consent can invalidate agreement
Tax reporting penalties: Incorrect forms may trigger IRC §6721 fines
HIPAA exposure: Improper PHI controls can lead to violations
Data loss: Poor backups risk permanent record loss
Notary invalidation: RON or notary defects can void notarized items
Operational delays: Missing fields cause approval bottlenecks
