What the Customization & Training Document Is

A Customization & Training Document records the agreed configuration, custom features, and training scope for a software deployment or business process change. It defines deliverables, responsibilities, training schedules, acceptance criteria, and any optional addenda such as privacy or data-handling instructions. The document serves as a single reference for project teams, vendors, and client stakeholders to confirm what will be delivered, how users will be trained, and which measurements or signoffs constitute completion. It can be executed on paper or electronically and is commonly combined with a scope of work or statement of work.

Why a Clear Customization & Training Document Matters

A concise, well-structured document reduces ambiguity, sets measurable acceptance criteria, and protects both parties by documenting change requests, training obligations, and responsibilities for ongoing support.

Why a Clear Customization & Training Document Matters

Typical Users and Signers

Teams that commonly complete or sign this document include project managers, implementation leads, procurement officers, and client success representatives.

  • Project Manager or Implementation Lead responsible for configuration and milestone signoff.
  • Procurement or Legal representative who approves scope, pricing, and contract terms.
  • Client Training Coordinator who confirms participant lists, schedules, and training deliverables.

Keep signer roles explicit in the document so each party knows which approvals trigger the next phase of work.

Step-by-Step: Completing the Document

Follow these sequential steps to prepare, review, and finalize the Customization & Training Document.

  • 01
Draft Scope: Describe configuration changes, integrations, and deliverables in clear, numbered items.
  • 02
Define Training: List modules, objectives, duration, and delivery format for each audience segment.
  • 03
Assign Owners: Name responsible parties for delivery, remediation, and participant signoff.
  • 04
Execute Signatures: Collect signatures from all authorized parties and date the document for the Effective Date.

Typical Document Flow from Draft to Completion

A predictable workflow keeps implementation on schedule and ensures training is delivered against agreed targets.

  • Create: Author prepares the initial draft and attaches any technical exhibits or configuration files.
  • Review: Stakeholders review scope, request changes, and approve or record exceptions.
  • Sign: Authorized representatives sign to confirm acceptance of scope and training terms.
  • Deliver: Vendor delivers configuration and conducts training per the agreed schedule.

Common Digital Workflow Settings

Configure the online workflow to match your review and approval sequence before sending the document for signature.

Field Configuration
Signer Order Sequential or parallel routing
Authentication Email link, SMS code, or knowledge-based authentication
Reminders Auto-reminders frequency and escalation
Attachments Allow upload of supporting exhibits

Technical and Integration Considerations

Verify file formats, integrations, and authentication methods before sending documents for signature.

  • File Formats: PDF, DOCX, and HTML are commonly supported for reliable rendering.
  • Integrations: Salesforce, NetSuite, Microsoft 365, Google Workspace and others enable automated routing.
  • Authentication: Use SMS or SSO for higher-assurance signer verification.

Align technical choices with legal and security requirements to preserve evidentiary value and reduce signer friction.
