What the Cybersecurity Pentest Quote Template Is

A Cybersecurity Pentest Quote Template is a standardized document used to propose penetration testing services, scope, deliverables, timeline, and pricing. It frames testing objectives (external/internal/web/mobile), defines accepted testing windows and exclusions, lists deliverables such as vulnerability reports and remediation advisories, and records payment and legal terms so both vendor and client share a clear baseline for engagement.

Why a Formal Pentest Quote Matters

A clear written quote reduces scope disputes, sets price and schedule expectations, and creates an auditable offer that can be accepted electronically; electronic acceptance is generally enforceable under the ESIGN Act (15 U.S.C. §7001) and state e‑signature laws such as UETA.

Why a Formal Pentest Quote Matters

Who Typically Prepares and Receives These Quotes

The template is used by security vendors, internal security teams, procurement staff, and legal/compliance reviewers during vendor selection and contracting.

  • Security provider sales or engagements team preparing a scoped, priced offer to a prospect.
  • In-house security manager requesting external testing as part of risk remediation planning.
  • Procurement and purchasing teams comparing competing vendor quotes and contract terms.

Each recipient has a different focus—technical scope, cost, or contractual terms—so the template should make those elements explicit and easy to compare.

Primary Roles Involved

Security Vendor — Lead Consultant

Produces the quote, defines testing methodology, and certifies deliverables. Responsible for ensuring authorization language and scope are included and that third‑party approvals are noted.

Client — Security/IT Manager

Reviews scope and target lists, confirms test windows and business impact constraints, and provides formal authorization to test. Also coordinates legal and procurement sign‑off.

Essential Sections to Include in the Template

A professional pentest quote organizes scope, technical approach, deliverables, schedule, pricing, and commercial terms so reviewers can evaluate risk, cost, and timelines quickly.

Scope of Work

Define systems, IPs, apps, and exclusions. Specify external vs internal testing, authenticated access, and any business constraints to prevent misunderstandings.

Testing Types

List methods (black box, grey box, red team, application, network, cloud) so the client understands depth and expected coverage.

Deliverables

Specify report formats, severity classifications, remediation guidance, and whether retest is included or priced separately.

Timeline & Milestones

Include proposal validity, target start date, testing window, interim checkpoints, and final delivery date to align expectations.

Pricing & Payment

Itemize fixed fees, hourly rates for out‑of‑scope work, retest costs, and payment terms such as net 30 or milestone billing.

Liability & Exclusions

Document damage exclusions, data handling obligations, escalation paths for critical findings, and any insurance or limitation of liability clauses.

Required Information to Populate the Quote

Client Name: Legal entity
Primary Contact: Name and email
Target Inventory: IPs, domains, apps
Testing Window: Start/end dates
Authorization: Signed approval
Payment Terms: Price and due date

Step-by-Step: Complete the Quote

Follow a short, ordered checklist to prepare an accurate, compliant pentest quote that reviewers can approve without repeated clarifications.

  • 01
Gather details: Collect client contact, scope, and system inventory.
  • 02
Define scope: Specify exactly what will and will not be tested.
  • 03
Estimate costs: Calculate fixed fees and hourly contingencies.
  • 04
Authorize: Obtain signature and store executed copy.

Configure the Online Quote Workflow

Set up a consistent digital workflow to collect signatures, track approvals, and send completed documents to stakeholders and repositories.

Field Configuration
Template Name Cybersecurity Pentest Quote v1
Signer Order Client then vendor
Authentication Email link or SMS code
Notification Settings Reminders at 3 and 7 days

Routing: Where to Send and How to File the Executed Quote

A clear routing path ensures the signed quote is filed with procurement, the project owner, and legal for future reference.

  • Send to Signer: Deliver via email or secure signing link to authorized client signer.
  • Vendor Counter-sign: Vendor signs after client acceptance to finalize the agreement.
  • Distribute Copies: Email executed copies to procurement, security operations, and legal.
  • Archive: Store final PDF and audit trail in contract repository.

Digital Signing and File Format Requirements

Use an eSignature platform that preserves audit trails, supports common file formats, and meets your compliance needs.

  • File Types: PDF, DOCX, or HTML accepted
  • Integrations: CRM, cloud storage supported
  • Authentication: Email, SMS, or advanced options

Confirm your platform supports long-term archival PDF output and retains an auditable certificate of completion for future compliance or dispute resolution.

Typical Timing and Validity Periods for Quotes

Document typical deadlines and processing expectations so clients can respond and vendors can schedule testing without ambiguity.

Quote Validity:

Commonly 30 days from issue; protects vendor pricing.

Client Response Deadline:

Specify an acceptance date to reserve testing slots.

Testing Window:

List start and end dates for active testing.

Project Start:

Allow lead time for approvals and onboarding.

Invoice Due:

Typical net 30 terms unless otherwise negotiated.

Common Mistakes to Avoid When Preparing a Quote

  • Vague scope language that omits targets or exclusions, leading to scope creep and billing disputes.
  • Missing formal authorization or proof-of-approval from an authorized client representative before testing begins.
  • Failing to list critical exclusions such as production backups or business-critical hours, causing operational impact.
  • Not specifying post-test retest terms or remediation verification, which delays closure and increases cost.

Risks and Consequences of an Incorrect or Incomplete Quote

Unauthorized Testing: Legal exposure and potential liability
Scope Creep: Unplanned cost and schedule overruns
Data Breach: Regulatory fines and remediation costs
Regulatory Risk: HIPAA or sector-specific noncompliance
Payment Disputes: Delayed revenue and collections issues
Contractual Gaps: Enforceability questions later

Typical eSignature Pricing and Vendor Capabilities for Executing Quotes

Compare basic pricing and core capabilities across popular eSignature vendors; signNow is listed first per comparison convention and vendors differ by plan features and envelope or usage limits.

File Formats

Keep a copy in PDF and the original DOCX or editable format for future amendments or template updates.

Version Control

Store each signed version with a timestamped filename and maintain an index of signers and dates for quick retrieval.

Supporting Documents

Attach scope exhibits, target lists, authorization letters, and any BAAs or confidentiality agreements required for testing.

Updating or Revising an Executed Quote

Handle amendments in a controlled manner: document changes, obtain re‑approval, and re‑execute to maintain a clear audit trail.

01

Request Amendment:

Client or vendor submits proposed changes.
02

Redline:

Capture changes in a tracked document.
03

Review:

Legal and security assess impact.
