What a Date Change Request Is

A Date Change Request is a written notice asking one or more contracting parties to amend a previously agreed date in a formal record, schedule, or agreement. Common uses include changing an effective date, delivery or milestone dates, hearing or filing deadlines, or scheduled service dates. The request documents the proposed new date, the reason for the change, the parties affected, and any related adjustments to obligations, payments, or timelines. A clear, signed Date Change Request creates a traceable record that supports enforceability and reduces disputes about when obligations were intended to begin or end.

Why a Formal Request Matters

A properly executed Date Change Request preserves contractual intent, reduces ambiguity about performance windows, and creates documentary evidence for later disputes or audits. It also documents consent when changing dates that affect deadlines, reporting, or regulatory obligations.

Why a Formal Request Matters

Who Typically Prepares and Signs These Requests

Parties who receive the request should review related obligations, confirm any downstream effects, and record acceptance or rejection in writing to maintain a clear audit trail.

  • Contract managers coordinating deliverables and milestone resets during project delays.
  • HR or administrative staff updating offer letters, start dates, or leave schedules.
  • Legal or compliance teams adjusting filing dates, court-related deadlines, or regulatory submission schedules.

Core Elements of a Professional Date Change Request

A concise Date Change Request includes standardized fields and attachments so recipients can evaluate and respond quickly without needing follow-up clarification.

Request header

Document title, unique identifier, and reference to the original agreement or document so the change is unambiguously linked to the correct record and version.

Parties

Full legal names and contact details of all affected parties, including the requesting party and each counterparty who must approve or acknowledge the change.

Original date

Specify the original date precisely (MM/DD/YYYY) and the field or clause in the agreement where it appears to avoid ambiguity.

Proposed date

Provide the new date in MM/DD/YYYY format and, where relevant, indicate if the change is a one-time shift or part of a series of adjusted dates.

Reason

Concise rationale for the change, e.g., supply delay, force majeure, scheduling conflict, or mutual agreement circumstances.

Effect summary

Describe material impacts: payment rescheduling, milestone realignment, extension of obligations, or changes to termination triggers.

Required Data Fields at a Glance

Request ID: Unique reference
Requester: Name and role
Affected parties: Names listed
Original date: MM/DD/YYYY
New proposed date: MM/DD/YYYY
Signatures: Signed and dated

Step-by-Step: How to Complete a Date Change Request

Follow a standardized sequence to gather information, obtain consent, and preserve an audit trail for enforceability.

  • 01
Identify reference: Locate the original agreement and clause to be changed.
  • 02
Draft request: State original and proposed dates, reason, and impacts.
  • 03
Send to parties: Deliver request with supporting docs and clear response deadline.
  • 04
Document response: Capture acceptances, signatures, and any counter-proposals.

Configuring an Online Date Change Workflow

Set up an online workflow that routes the request, collects signatures, and stores an immutable audit trail to reduce back-and-forth and manual errors.

Field Configuration
Requester field Auto-fill from profile
Original date field MM/DD/YYYY format, required
Proposed date field MM/DD/YYYY format, required
Signature field Signer, date, audit trail enabled

Where to Send and How the Request Is Processed

A Date Change Request should be routed to all required approvers and recorded where the governing agreement is maintained.

  • Internal approver: Project or contract manager reviews and approves.
  • External counterparty: Counterparty reviews and signs or returns a counter-proposal.
  • Document repository: Store executed amendment with original agreement.
  • Notifications: Notify affected teams (billing, delivery, compliance).

Digital Signing and Delivery Considerations

Ensure the chosen method meets any statutory or contractual authentication requirements and that signed amendments are retained with the original agreement.

  • Authentication: Email, SMS, KBA options
  • Audit trail: IP, timestamp, actions
  • File formats: PDF and DOCX supported

Typical Timelines and Response Expectations

Set clear internal and external deadlines to avoid unintended waivers or missed obligations when proposing a date change.

Request issuance deadline:

Send as soon as practicable once a change is anticipated.

Response window:

Specify a firm response deadline, commonly 5–14 business days.

Interim obligations:

Document who performs interim duties pending approval.

Effective date update:

State when the new date takes legal effect.

Repository update:

File executed amendment within 48–72 hours of final signature.

Common Pitfalls to Avoid

  • Failing to cite the specific clause or page in the original agreement, which creates ambiguity about which date is changed and can trigger disputes or misapplication.
  • Omitting required approvers or failing to obtain signatures from all parties with authority, which may render the amendment unenforceable under the agreement.
  • Not documenting downstream impacts such as payment rescheduling or milestone realignment, causing confusion in billing, delivery, or regulatory reporting.
  • Relying on informal approvals (email threads without signature or audit trail) rather than a signed amendment, which weakens proof of mutual consent.

Risks and Legal Consequences of an Incorrect Request

Breach risk: May create or excuse breach
Waiver: Unclear consent can impose an unintended waiver
Regulatory impact: May affect filing deadlines
Tax mismatch: Incorrect dates can trigger IRS reporting issues
Evidentiary weakness: Lack of signature undermines proof
Notarization gap: Missing notarization when required invalidates change

Practical Examples

Two short scenarios illustrate common uses and outcomes when a Date Change Request is prepared and recorded correctly.

Project milestone shift

A contractor requests an 11-day delivery extension due to supplier delay

  • The client reviews impact on subsequent milestones and approves with a payment schedule change
  • The executed amendment is attached to the contract, and billing dates are updated in the accounting system to avoid disputes.

Employee start date

An employee requests a later start date for personal reasons

  • HR circulates a Date Change Request that updates the offer letter and onboarding timeline
  • Both parties sign electronically; HR stores the signed amendment in the employee file and adjusts payroll activation dates.
