What a Delivery Purchase Order Is and When It’s Used

A Delivery Purchase Order is a procurement document issued by a buyer to a supplier that authorizes the delivery of specified goods or services under agreed terms. It typically includes a purchase order number, item descriptions, quantities, unit prices, delivery dates and locations, payment terms, and any special instructions such as packaging or carrier requirements. The document serves as a contractual offer that, once accepted or fulfilled, creates binding obligations between buyer and seller and forms a primary record for inventory, accounts payable, and audit trails.

Why a Delivery Purchase Order Matters for Control and Clarity

A Delivery Purchase Order creates a clear, auditable record of what was ordered, when it must be delivered, and on what terms; this reduces disputes and supports accounting, receiving, and compliance functions.

Why a Delivery Purchase Order Matters for Control and Clarity

Who Prepares and Who Receives a Delivery Purchase Order

Effective PO workflows include a clear preparer, an approver in purchasing or finance, and a receiving contact to confirm delivery and completion.

  • Procurement teams: issue and track POs, enforce vendor terms and budgets.
  • Accounts payable: match invoices to POs for payment authorization.
  • Suppliers and carriers: receive delivery instructions and confirm fulfillment.

Core Elements a Professional Delivery Purchase Order Should Include

A well-formed Delivery Purchase Order balances operational detail with legal clarity. Include identifiers, commercial terms, delivery specifics, inspection rules, and signature blocks so receiving and accounting teams can act without delay.

PO Number

Unique identifier used for tracking, invoicing, and audit reconciliation; essential for AP matching.

Buyer and Supplier Details

Full legal names, billing and shipping addresses, contact names, telephone numbers, and email addresses for notices.

Line-Item Detail

Item codes, descriptions, quantities, unit prices, taxes, and total line amounts to avoid disputes on receipt.

Delivery Terms

Specified delivery date or window, delivery location, Incoterms (if applicable), carrier instructions, and who bears shipping cost.

Payment Terms

Net terms, early-payment discounts, invoicing instructions, and any required reference to the PO number.

Acceptance and Inspection

Inspection period, criteria for rejection, remedies for nonconforming goods, and return procedures.

Required Fields and Minimal Data for a Valid PO

PO Number: Unique alphanumeric code

Step-by-Step: How to Complete a Delivery Purchase Order

Follow these steps to prepare a clear, enforceable Delivery Purchase Order and reduce processing delays.

  • 01
Create PO record: Assign PO number and buyer contact information.
  • 02
Add line items: List SKU, description, quantity, and unit price.
  • 03
Specify delivery: Enter delivery window, location, and carrier instructions.
  • 04
Review and approve: Obtain required internal approval before sending to supplier.

How to Configure an Online Delivery PO Workflow

Set up fields, approvals, and document routing so POs are generated, approved, and sent electronically without manual handoffs.

Field Configuration
Auto-numbering Sequential PO numbers assigned automatically on creation.
Conditional fields Show shipping cost fields only when external freight is selected.
Approval routing Multi-step approval based on amount thresholds.
Attachments Allow invoices, specs, and packing lists to be attached.

From Draft to Delivery: Routing and Acceptance Flow

This simplified flow shows the typical lifecycle from PO creation through supplier confirmation and final acceptance.

  • Draft PO: Create PO with items and terms, then save as draft.
  • Internal approval: Route to procurement and finance for authorization.
  • Send to supplier: Email or e-deliver PO and request order confirmation.
  • Receive and inspect: Acknowledge delivery, inspect goods, and record acceptance.

Sharing Options and Technical Requirements for Electronic POs

Ensure the chosen platform supports audit trails, secure storage, and necessary integrations for AP and receiving teams.

  • File formats: PDF and DOCX widely supported
  • Authentication: Email, SMS code, or stronger MFA
  • Integrations: ERP/CRM connectors for automation

Key Timing Requirements and Typical Deadlines

Track delivery windows and administrative deadlines so acceptance, invoicing, and payment proceed without penalty.

Requested delivery date:

Date supplier should deliver goods

Inspection period:

Days allowed to report nonconformance

Invoice submission:

Deadline to submit invoice post-delivery

Payment due date:

Net terms measured from invoice receipt

Record retention:

Retain PO per company and legal requirements

Common Preparation Errors that Cause Delays

  • Omitting the PO number on supplier invoices, which prevents automatic matching and delays payment by days or weeks.
  • Using vague descriptions or unit measures, leading to shipment mismatches and returns that increase lead time and cost.
  • Failing to include approved delivery windows or carrier instructions, resulting in missed appointments and demurrage charges.
  • Skipping internal approval thresholds or sign-off rules, exposing the company to unauthorized spend and audit findings.

Risks and Consequences of an Incorrect or Missing PO

Payment delays: Invoices unmatched without PO
Contract breach: Supplier may refuse non-PO shipments
Loss of discounts: Early-payment terms not honored
Inventory errors: Miscounts and stockouts
Regulatory risk: Customs fines for wrong documentation
Tax exposure: Improper records affect deductions
