What the Delivery Service Program document covers

A Delivery Service Program document establishes the operational, legal, and administrative terms that govern a carrier or courier relationship. It typically defines the parties, service area, permitted services, insurance and indemnity obligations, performance metrics, data handling, payment terms, and signature blocks required for execution. Organizations use this document to standardize onboarding, clarify liability and compliance expectations, and create a record that can be retained and produced for audits, insurance claims, or regulatory review.

Why a formal Delivery Service Program matters

A formal program reduces ambiguity about responsibilities, aligns risk allocation, and creates an auditable record for regulatory and insurance purposes. It also helps ensure consistent service levels across providers.

Why a formal Delivery Service Program matters

Typical organizations and roles that complete this program

Delivery companies, logistic managers, and procurement teams commonly prepare or sign Delivery Service Program documents when establishing new carrier relationships.

  • Third-party carriers and independent drivers onboarding to a platform or retailer
  • Retail and e-commerce operations procuring recurring pickup and last-mile delivery services
  • Fleet managers and compliance officers managing insurance and safety standards

Stakeholders range from legal and procurement teams to operational supervisors who enforce performance and compliance terms.

Step-by-step: completing the Delivery Service Program

Follow these sequential actions to complete the program efficiently and consistently.

  • 01
Gather documents: Collect carrier EIN, COI, and driver's license images.
  • 02
Confirm terms: Review service radius, hours, and pricing schedule.
  • 03
Add signatures: Place signature, date, and printed name fields for all parties.
  • 04
Store record: Save executed copy in secure records for retention and audit.

Configuring the digital workflow for this document

Suggested settings for routing, authentication, and storage when using an e-submission workflow.

Field Configuration
Routing order Sequential: carrier → operations → legal
Authentication Email link plus optional SMS code
Notifications Send reminders at 3 and 7 days
Storage Encrypted archive with retention tag

Technical and integration considerations for eSubmission

Confirm your eSignature platform supports secure signing, audit trails, and integrations with your document repository before eSubmitting.

  • Integrations: Salesforce, NetSuite, Google Workspace supported
  • File types: PDF, DOCX, and HTML accepted
  • Authentication: Email, SMS, KBA as optional methods

Ensure the chosen platform can store signed records, produce audit reports, and meet any required compliance standards for your industry.

How eSubmission and signature capture typically work

A standard online signing flow reduces back-and-forth and preserves a clear audit trail for each execution.

  • Upload document: Sender uploads the Delivery Service Program file
  • Place fields: Add signature, date, and checkbox fields where required
  • Send to signer: Signer receives email or direct link
  • Complete signing: Signer authenticates and signs; audit trail saved

Core components to include in a professional Delivery Service Program

These six elements form the backbone of a clear, enforceable program that aligns operational expectations with legal protections.

Parties and scope

Identify contracting entities and precisely define services, geographic limits, and excluded activities to avoid scope disputes and inconsistent service coverage.

Compensation terms

Specify rates, invoicing intervals, approved reimbursement items, late-payment terms, and any holdback or dispute procedures for billing disagreements.

Insurance and indemnity

State required limits, certificate of insurance details, additional insured requirements, and indemnity scope to allocate risk clearly between parties.

Performance standards

Define delivery time windows, on-time metrics, error thresholds, and remedies such as service credits or termination rights for persistent nonperformance.

Data and privacy

Outline handling of personal data, customer information, and security controls; include HIPAA addenda when transporting protected health information.

Termination and transition

Set notice periods, return-of-property obligations, and transition support to minimize service disruption at contract end or termination.
