What a Delivery Truck Letter Is and When It’s Used

A Delivery Truck Letter is a written notice or authorization used by carriers, vendors, or property managers to document planned deliveries, access permissions, parking or staging needs, and contact instructions. Commonly sent to landlords, building managers, municipal authorities, or receiving departments, the letter records vehicle dimensions, expected arrival windows, loading/unloading locations, required permits, and insurance details. It can function as a record of consent, a routing notice, or a temporary access authorization. When executed electronically, the letter can meet the ESIGN Act (15 U.S.C. ch. 96) and UETA requirements for enforceability, subject to any statutory exceptions.

Common preparation errors to avoid

  • Omitting precise vehicle dimensions that lead to denied access or unexpected re-routing by facilities staff.
  • Failing to attach required permits or insurance certificates, which often triggers on-site refusal or forced rescheduling.
  • Using vague delivery windows such as 'morning' or 'afternoon' that create scheduling conflicts and missed dock times.
  • Not obtaining or recording an acknowledgement from the recipient, leaving parties without proof of approved staging.
