What the Design Work Authorization Document Is

A Design Work Authorization Document is a written agreement that formally authorizes a designer or firm to begin specified design services for a project. It defines scope, deliverables, schedule, pricing, payment terms, intellectual property allocation, and any approvals required before work proceeds. The document aligns expectations between the client and the design provider, provides a baseline for change orders, and creates an auditable record for invoicing and dispute resolution. It is commonly used in architecture, engineering, interior design, product design, and digital design engagements.

Why a Clear Authorization Matters

A formal design authorization reduces ambiguity about scope, limits unapproved work, and establishes payment and delivery terms that protect both parties. It creates a contractual reference for changes, helps prevent scope creep, and documents client approvals needed to trigger billing or production activities.

Why a Clear Authorization Matters

Who Typically Prepares and Signs This Document

Design work authorizations are used by a range of professionals across project and procurement workflows.

  • Design firms and independent designers: formalize client approvals and set delivery milestones for billable work.
  • Project managers and general contractors: control subcontracted design scope and coordinate integration with construction schedules.
  • Clients and procurement officers: record authorized budget, acceptance criteria, and payment triggers.

The document serves both operational and legal functions and is often routed through procurement, legal, and finance before execution.

Core Sections Every Professional Authorization Should Include

A thorough authorization balances detail with clarity so all parties understand expectations and responsibilities.

Scope

Clear description of services, tasks, and exclusions so deliverables and limits are unambiguous and measurable.

Deliverables

List of drawings, files, reports, and formats to be provided, including number of revisions and final file types.

Schedule

Key milestones, review windows, and final delivery dates tied to approvals and payment triggers.

Payment

Fees, invoicing schedule, late-payment terms, retainers, and any milestone-based payments or holdbacks.

IP

Intellectual property ownership, license scope, and conditions for transfer or reuse of design assets.

Change Control

Procedure for change requests, pricing adjustments, approval routing, and revised schedules to avoid scope creep.

Step-by-Step: Completing a Design Work Authorization

Follow these steps to prepare, approve, and store the authorization with minimal delays.

  • 01
Draft: Prepare scope, milestones, and payment terms in a single document.
  • 02
Review: Legal, procurement, and project leads review for compliance and clarity.
  • 03
Authorize: Obtain signatures from authorized signatories and record dates.
  • 04
Distribute: Send final fully executed copies to all stakeholders and file securely.

How to Configure an Online Authorization Workflow

When moving the authorization online, configure key workflow settings to mirror the paper approval path.

Field Configuration
Signer Order Set sequential or parallel signing to match approval hierarchy
Authentication Choose email, SMS code, or stronger methods for critical approvals
Conditional Fields Show or hide pricing and scope options based on client selections
Audit Trail Enable full activity logging (timestamps, IP, actions) for compliance

Where to Send and File the Executed Authorization

Route the executed document to finance, project management, and the design team; maintain a single source of truth in document storage.

  • Finance: Retain copy for invoicing and accounts payable records.
  • Project Team: Store in project folder to align design work with schedule.
  • Legal/Procurement: Keep for contractual interpretation and audit readiness.
  • Central Repository: Archive final executed PDF with metadata and audit trail.

Digital Signing and Integration Considerations

Choose a platform that supports secure electronic signatures, audit trails, and your existing integrations.

  • Authentication Options: Email link, SMS code, or advanced signer verification
  • Integrations: Connect to NetSuite, Salesforce, Google Workspace, or Box
  • File Formats: Accept PDF, DOCX, and generate signed PDF/A outputs

Ensure the platform you select supports required compliance standards for your industry and preserves an immutable audit trail.

Typical Timelines and Response Deadlines

Establish realistic internal deadlines for review, approval, and handoff to avoid project delays and misaligned expectations.

Draft Delivery:

Provide initial authorization draft within 3–5 business days

Internal Review:

Allow 5–10 business days for legal and procurement review

Client Approval:

Recommend client response within 7–14 calendar days

Execution:

Obtain signatures and distribute within 1–3 business days

Change Request Turnaround:

Respond to change requests within 5 business days

Key Project Milestones Tied to Authorization

Link authorization stages to operational milestones so approvals trigger measurable project activities.

01

Authorization Signed

Design work may commence; budget and schedule are locked in

02

First Milestone Deliverable

Review period begins and client provides consolidated feedback

03

Revision Completion

Finalize drawings and prepare final deliverables for acceptance

04

Final Acceptance

Client signs acceptance and final payment obligations become due

Common Mistakes to Avoid

  • Vague scope descriptions that omit exclusions, leading to disputes and unbudgeted work.
  • Missing or inconsistent signatory names, causing payment delays and tax reporting issues.
  • Absent change control processes, allowing scope creep and unmanaged cost increases.
  • Storing only unsigned drafts or scattered email approvals, undermining enforceability and audit readiness.

Risks and Potential Consequences of Errors

Payment Delays: Invoice disputes and withheld payments
Scope Disputes: Contractual claims and added legal costs
Regulatory Risk: Noncompliance for regulated sectors
Tax Issues: Incorrect vendor name complicates 1099 reporting
Record Gaps: Weakened position in audits or litigation
Revocation Risk: Improper signatures may allow later challenge
