What the Device Return Policy Agreement Covers

A Device Return Policy Agreement documents the terms and procedures for returning company-owned or rented devices, including eligibility, condition standards, timelines, and financial adjustments such as restocking or replacement charges. It clarifies responsibilities for packaging, shipping, data removal, and proof of return. The agreement also describes inspection criteria, credit or refund processing, and any required authorizations for repair or refurbishment. Organizations use this written policy to reduce disputes, ensure secure handling of data-bearing devices, and set a predictable process for IT, procurement, and vendor parties involved in device lifecycle management.

Why a Clear Return Policy Matters

A formal Device Return Policy Agreement reduces ambiguity, protects sensitive data, and sets expectations for costs and timelines, helping avoid disputes and unexpected liabilities.

Why a Clear Return Policy Matters

Who Typically Uses This Agreement

Organizations and individuals involved in issuing or accepting returned devices rely on this agreement to document process and liability.

  • IT departments and asset managers who track inventory, data sanitization, and refurbishing responsibilities.
  • Procurement and vendor teams that need defined financial remedies for damages, shortages, or missing accessories.
  • Employees, contractors, or customers who must understand return windows, packaging and data-wipe requirements.

Use it to align IT asset management, procurement, vendors, and employees on a single, enforceable return workflow.

Primary Signatories and Contacts

  • Omitting accessories such as chargers or docks often results in restocking fees or reduced credit amounts during inspection.
  • Using inadequate packaging increases transit damage risk and may shift liability to the returner under the agreement.
  • Not including the RMA or tracking number delays processing and can cause the device to be treated as unreturned.

Potential Penalties and Liability Exposures

Restocking Fee: Percentage or flat fee assessed
Data Breach Liability: Costs from exposed personal data
Inspection Dispute: Delay in credit or additional verification
