What the Distance Service LOX Is and when it applies

The Distance Service LOX is a written notice used to document and authorize service of documents or delivery of notices when parties are not physically co-located. It records the method of remote delivery, identifies recipients and addresses for service, and documents consent to distance or electronic service methods to create a clear record for operational or legal purposes.

Why an explicit Distance Service LOX matters

A clear Distance Service LOX reduces disputes about whether notice was received, documents were properly served, or timelines began. It preserves proof of method, timing, and recipient identity, which supports enforceability under ESIGN and state electronic transaction rules.

Why an explicit Distance Service LOX matters

Typical users and parties involved

Use it whenever you need documented consent to non‑traditional delivery or a defensible chain of custody for served documents.

  • Legal departments and law firms managing remote service and process
  • Human resources teams sending employment notices or separation documents
  • Healthcare administrators delivering consent and information notices

Core components included in a professional Distance Service LOX

A well-structured LOX combines identity details, service method, delivery timing, authentication steps, proof-of-delivery, and signer attestations to create a complete record.

Recipient ID

Full legal name and contact info exactly as shown on government ID to ensure match and attribution during disputes or authentication checks.

Service Method

Specify the delivery channel (email, secure portal, RON-notarized packet, courier) and any authentication (SMS code, KBA) used to validate receipt.

Service Address

Provide explicit electronic or physical address used for service (email address, secure URL, mailing address) to avoid ambiguity about where notice was sent.

Delivery Timing

Record date and time (MM/DD/YYYY HH:MM) of transmission and any automated delivery receipts, timestamps, or delivery failure messages.

Proof of Delivery

Attach or reference server logs, delivery receipts, RON recording IDs, or courier tracking numbers that corroborate transmission and access.

Attestation

A signer section where the sender and recipient confirm understanding and consent to the distance service method, including signature and date.
