What the Document Print View Is

A Document Print View is a print-ready rendition of a finalized document that consolidates the signed page images, visible signature blocks, timestamps, and an abbreviated audit summary into a single PDF or printable page. It preserves layout and metadata needed for paper records, compliance checks, and archival printing while excluding editing controls and form overlays. Organizations use the print view to produce official physical copies for filing, notarization, distribution to external stakeholders, or storage in records management systems where a stable, human-readable format is required.

Why a Clear Document Print View Matters

A consistent print view ensures the signed record is reproducible, auditable, and suitable for physical filing or notarization. It reduces disputes about the document’s final form by showing signatures, dates, and a compact audit summary together in one place.

Why a Clear Document Print View Matters

Typical Users and Roles for Print Views

Teams that routinely create definitive paper records rely on print views to standardize outputs and simplify downstream processing.

  • Real estate closing agents and brokers producing final executed purchase agreements for county recording and client delivery.
  • Healthcare administrators and billing teams printing signed consent and authorization forms for patient charts and payer queries.
  • Legal and finance teams preparing notarizable hard copies, court exhibits, or tax-related supporting documentation for audits.

Print views serve internal recordkeeping, regulated reporting, and external recipients who require a static, printable document.

Essential Elements Included in a Professional Print View

A professional print view combines visual fidelity with a concise compliance summary so printed copies are self-explanatory and defensible. Include signature appearances, signing dates, signer names and roles, document version or ID, condensed audit metadata, and any required disclosures or page numbering.

Signature Blocks

Visible signature images and printed signer names to match the electronic audit trail for identification.

Signing Dates

Clear MM/DD/YYYY dates for each signer showing the order and timing of execution.

Audit Summary

Compact record with timestamps, IP addresses, and authentication method for each signing event.

Document ID

Unique identifier or version number printed on every page for traceability.

Attachments Note

Indicator of separately attached exhibits or schedules and page counts for completeness checks.

Retention Footer

Footer text indicating retention policy references or custody contact information.

Step-by-Step: Generate a Reliable Print View

Follow these core steps to produce a consistent, auditable print-ready copy after signing completes.

  • 01
Prepare Document: Finalize all fields, attachments, and version identifiers before closing the signing session.
  • 02
Capture Audit: Ensure the platform captured timestamps, IP, and authentication method for every signer.
  • 03
Generate Print View: Export the print-ready PDF that embeds the audit summary and signature images.
  • 04
Verify & Archive: Confirm page order, signer names, and dates, then store per retention policy.

How Document Print Views Fit Into the Signing Workflow

Print views are an output step after electronic execution; they provide a portable, human-readable record for filing and archiving.

  • Upload: Sender uploads original document and any exhibits to the signing platform.
  • Sign: Signers authenticate and apply electronic signatures in the platform session.
  • Finalize: System completes execution and assembles the audit trail with the final document.
  • Export: Generate the print view PDF containing signature images and a condensed audit summary.

Recommended Print View Settings

Configure the export options so printed copies meet your compliance and filing needs.

Common Mistakes When Producing a Print View

  • Printing drafts instead of the final executed file leads to missing signatures and inconsistent page numbering.
  • Omitting or truncating the audit summary removes evidence of signer authentication and event timestamps.
  • Failing to include exhibit attachments results in incomplete records and possible filing rejections.
  • Using non-standard page sizes or removing footers can break notarization or indexing requirements.

Risks from Incorrect or Incomplete Printed Records

Tax Filing Penalties: Incorrect records can trigger IRC §6721 penalties for information returns
HIPAA Violations: Incomplete PHI controls risk breach findings and enforcement action
Contract Disputes: Missing signatures may void contractual obligations
Notarization Failures: Improperly prepared hard copies can be rejected by notaries or recorders
Audit Deficiencies: Absent audit data undermines proof of consent and attribution
Retention Breaches: Premature destruction may violate regulatory retention obligations

Practical Tips for Accurate and Efficient Print Views

Adopt consistent settings and review steps so printed outputs are complete, auditable, and suitable for filing or notarization.

Standardize Export Templates
Create one or two approved templates that include signature blocks, audit summary, and exhibit checklist to eliminate ad-hoc manual edits.
Validate Before Printing
Confirm signer names, dates, and page counts against the execution summary to prevent reprints and filing delays.
Preserve Native Audit Data
Keep the platform-native record (with full audit trail) alongside printed copies to support investigations or disputes.
Use Integrated Workflows
Automate export, delivery, and archival through integrations to reduce manual handling and human error.

Time-Sensitive Considerations for Documents Often Printed

Certain document types tied to print outputs have external deadlines; meet those timelines to avoid penalties or filing rejections.

W-2 to Employee:

Jan 31 deadline for providing W-2s to employees

1099-NEC Deadline:

Jan 31 for reporting nonemployee compensation to recipients and IRS

Individual Tax Return:

Form 1040 due April 15; extension to Oct 15 if Form 4868 filed

FBAR Filing:

FinCEN Form 114 due April 15 with automatic extension to Oct 15

Record Requests:

Provide printed copies promptly when required by regulator or court order
