What the Donation Letter Template Is and When to Use It

A Donation Letter Template is a written document used by a donor or charitable organization to acknowledge a gift, summarize the items or funds donated, and confirm any tax-related details such as the date and value of the contribution. It provides a standardized, reproducible format for creating contemporaneous written acknowledgments required for charitable contribution substantiation, especially for gifts of $250 or more. Organizations use this template to ensure consistent language, include legally relevant elements, and preserve records that support donor tax deductions and internal accounting controls.

Why a Clear Donation Letter Template Matters

A standard template reduces errors, ensures required substantiation language appears consistently, and helps donors and organizations meet IRS documentation expectations for tax-deductible gifts.

Why a Clear Donation Letter Template Matters

Typical Users and Roles for Donation Letters

Organizations and individuals use donation letters to document charitable gifts and to provide donors the written acknowledgment needed for tax records.

  • Nonprofit development staff preparing donor acknowledgments, ensuring identical language for tax substantiation and donor relations.
  • Individual donors requesting written receipts for high-value noncash gifts to support IRS deduction claims.
  • Finance or accounting personnel who need consistent documentation for audit trails and internal recordkeeping.

Use this template to assign responsibility for completion, track delivery, and preserve a copy in donor or accounting records.

Core Elements to Include in the Donation Letter Template

A robust template includes identification of parties, a clear description of the donation, the date and location of transfer, value or statement of nonvaluation, any goods or services exchanged, and signature and contact information.

Donor Details

Full legal name and address of the donor as it appears on tax records; enables matching to payer files and backup withholding checks.

Recipient Details

Organization name, EIN, and mailing address to verify the charitable status and support donor deduction claims.

Gift Description

Precise description of donated property or cash, including quantity, condition, and any identifying numbers for noncash gifts.

Date of Contribution

Exact date donation was made or delivered; determines tax year for deduction and triggers substantiation requirements.

Valuation Statement

For cash, state the amount. For noncash, include donor-stated value or note that organization did not provide valuation if applicable.

Signature Block

Signature and printed name of authorized representative, title, and date to attest to receipt and confirmation of details.

Substantiation for $250+:

Donor needs contemporaneous written acknowledgment for gifts over $250 to claim a deduction

Noncash Appraisal:

Appraisals required for many noncash gifts above $5,000; donor should receive guidance

Record Delivery:

Provide copy to donor promptly; year-end batching is common but ensure timely delivery

Retention for Audits:

Keep copies per organizational retention policy and IRS guidance
