What a Donation Request Letter Is and When It’s Used

A Donation Request Letter is a written solicitation asking an individual, business, foundation, or organization to contribute money, goods, or services to a nonprofit, project, or cause. The letter explains the purpose of the request, the impact of the donation, and any donor benefits such as tax-deduction eligibility or public recognition. It typically includes the organization’s legal name, tax identification, suggested contribution levels, and instructions for giving. Donation Request Letters are used for one-time asks, campaign appeals, event sponsorships, and annual fundraising drives.

Why a Clear Donation Request Letter Matters

A well-structured Donation Request Letter increases response rates, clarifies tax-deduction status for donors, and reduces follow-up work. It sets expectations about how funds will be used and provides the practical details donors need to give securely and in a timely way.

Why a Clear Donation Request Letter Matters

Who Prepares and Responds to Donation Request Letters

Organizations and individuals across sectors prepare Donation Request Letters; donors and sponsors use them to decide whether to contribute.

  • Nonprofit fundraisers and development officers who manage appeals and donor stewardship.
  • Small business owners and corporate CSR teams evaluating sponsorship or in-kind contributions.
  • Event organizers and volunteer leaders seeking monetary gifts or material support.

Clear letters reduce ambiguity, speed donor decisions, and create an audit trail for tax and compliance purposes.

Typical Signers and Preparers

Development Director

A Development Director or Fundraising Manager customizes and signs formal donation requests on behalf of an organization; they ensure compliance with donor acknowledgements and maintain copies for records and audit.

Authorized Officer

An authorized officer (board chair, executive director) signs requests for major gifts or corporate sponsorships to confirm organizational approval and ensure legal responsibility for acknowledgment and fund use.

Core Elements Every Professional Donation Request Letter Should Include

Include essential structural elements so donors understand who you are, why you are asking, and how to give. Each component supports compliance, tax substantiation, and clear donor communications.

Organization ID

Legal entity name and EIN so donors can confirm tax-deductibility and the organization’s legitimacy; include mailing and web contact information for follow-up.

Purpose Statement

A concise explanation of the program, project, or event the donation will support, showing measurable impact and specific uses for funds or donated items.

Suggested Gifts

Provide giving levels or in-kind suggestions and describe what each level funds to help donors match impact to gift size.

Tax Details

State whether gifts are tax-deductible, include the EIN, and explain when and how the donor will receive a written acknowledgment for tax purposes.

How to Give

Clear instructions for online, mail, or in-person donations; include address, URL (omit link in printed letters), ACH or check instructions, and contact for questions.

Signature Block

Printed name, title, date, and signature of an authorized individual to verify the request and provide a point of contact for donor inquiries.

Timing Considerations and Relevant Deadlines

Understand timing for donor acknowledgments and internal follow-up to support donors’ tax reporting and organizational recordkeeping.

Immediate Response Window:

Acknowledge receipt within 48–72 hours when possible to preserve donor confidence.

Acknowledgment for $250+:

Provide contemporaneous written acknowledgment per IRS rules for donors to claim deductions.

Year-End Appeals:

Send final appeals by mid-December to affect that tax year’s donations.

Record Updates:

Log gift details within 30 days of receipt for audit readiness.

Tax Filing Relevance:

Common Mistakes to Avoid When Preparing Donation Requests

  • Using vague purpose language that leaves donors uncertain how funds will be used or restricted.
  • Providing conflicting payment instructions that cause misdirected donations or processing delays.
  • Failing to capture or preserve the donor’s acknowledgment for gifts over $250 as required by IRS guidance.

Risks and Legal Consequences of Incomplete or Incorrect Letters

Tax Substantiation Risk: Donors may lose deduction eligibility without proper written acknowledgment.
IRS Penalties: Incorrect reporting of charitable funds can trigger audits and related sanctions.
Reputational Harm: Misleading claims about fund use can damage trust and donor retention.
Data Privacy: Improper handling of donor PII can breach HIPAA or state privacy rules.
Contractual Risk: Unclear restricted-gift terms create enforceability disputes.
Recordkeeping Failures: Missing acknowledgments increase exposure during audits.
