What the Door and Glass Service Agreement Is and When It’s Used

A Door and Glass Service Agreement is a written contract that sets the terms for installation, repair, replacement, or maintenance of doors, windows, storefront glass, and related hardware. It names the contracting parties, describes the specific services and materials, enumerates payment terms, and allocates risk through warranties, indemnities, and insurance requirements. The agreement typically addresses scheduling, access, site safety, and disposal of replaced materials. For commercial or multiunit work it may include change-order procedures, lien waiver terms, and permit responsibilities. Electronic execution is generally acceptable where ESIGN or UETA applies.

Why a Clear Service Agreement Matters for Door and Glass Work

A well drafted agreement reduces disputes by documenting scope, acceptance criteria, and payment triggers. It clarifies who supplies parts, who obtains permits, and which party is responsible for site safety and cleanup.

Why a Clear Service Agreement Matters for Door and Glass Work

Who Typically Uses a Door and Glass Service Agreement

These agreements are used by contractors, property managers, building owners, and insurers to formalize work on doors and glazing systems.

  • Property managers and landlords who oversee routine repairs and tenant improvements across multiple units.
  • Commercial and residential contractors who perform installation, emergency repair, or glazing replacement services.
  • Insurance adjusters and claims handlers documenting repairs tied to a claim or loss payment.

Tailor the agreement to the user role: owners focus on warranties and acceptance, contractors on payment and change orders, and insurers on cost substantiation and compliance.

  • Failing to list manufacturer and part numbers for glazing and hardware, resulting in unauthorized substitutions and warranty issues.
  • Not requiring proof of insurance or failing to name the owner as additional insured for project-specific liability coverage.
  • Omitting change-order procedures and rates, which causes conflicts if site conditions require unplanned work or material upgrades.

Source Files

Keep original DOCX or editable files in secure storage to allow redlines and version comparison. Mark executed versions as final to avoid accidental edits.

Supporting Media

Attach before-and-after photos, material receipts, and inspection reports. Store these with the executed agreement to substantiate work quality and insurance claims.

Practical Tips for Accurate and Efficient Completion

Apply these proven practices to reduce disputes and speed project closeout.

Use Clear, Measurable Scope Language
Define quantities, tolerances, and acceptance tests. Clear scope decreases change orders and speeds payment. Include sketches or reference drawings when dimensions matter.
Require Proofs Up Front
Request certificates of insurance, contractor license numbers, and supplier warranties before work begins to prevent later coverage or licensing disputes.
Document Site Conditions
Photograph existing conditions and attach images to the agreement. This protects both parties when unforeseen conditions affect cost or schedule.
Standardize Change Orders
Use a one-page change order form with cost, schedule impact, and signature lines so all variations are captured and approved before proceeding.
