What the Door Order Entry Form Is

The Door Order Entry Form is a standardized commercial document used to capture all information needed to order, manufacture, deliver, and install doors. It combines customer identification, product specification (model, material, dimensions, hardware), delivery and installation instructions, pricing and payment terms, and acceptance criteria. Organizations use it to reduce back-and-forth, ensure accurate shop drawings, and coordinate production and logistics with installers and carriers. When completed accurately the form becomes the controlling record for the transaction and supports warranties, change orders, and invoice reconciliation.

Why a Structured Door Order Entry Form Matters

A clear Door Order Entry Form reduces measurement errors, prevents production rework, and documents scope and acceptance terms. It streamlines communication between sales, operations, shop, and installation teams while creating an auditable trail for billing and warranty claims.

Why a Structured Door Order Entry Form Matters

Who Completes and Who Receives the Form

The Door Order Entry Form is completed by sales or project coordinators and reviewed by production, installers, and procurement.

  • Project Manager — Confirms scope, delivery windows, installation constraints, and accepts final measurements before production.
  • Sales Representative — Records customer contact, purchase order references, pricing, and payment terms to finalize the quote.
  • Shop/Production Lead — Uses door specifications, hardware lists, and finish schedules to create shop drawings and production plans.

Completed copies are routed to manufacturing, logistics, and the customer; retained for warranty, billing, and dispute resolution.

  • Validate: Automated checks confirm dimensions and stock availability.
  • Approve: Manager or production lead signs to authorize shop work.
  • Distribute: Final copies delivered to shop, shipping, and the customer.

Digital Signing and Delivery Platform Needs

Choose software that supports fillable PDFs, conditional logic, secure eSign, and integration with ERP or project tools.

  • File Formats: PDF and DOCX support for templates and signed outputs.
  • Integrations: Connectors for ERP, NetSuite, Salesforce, and cloud storage.
  • Authentication: Email, SMS, or stronger methods for signer verification.

Ensure the platform captures an audit trail (timestamps, IP, signer events) and stores signed copies securely for warranty and compliance purposes.
