What the Drone Use Application Form Is and when it applies

The Drone Use Application Form documents a request to operate an unmanned aircraft system (UAS) for a particular purpose, timeframe, and location. It gathers operator identity, aircraft details, planned operations, risk mitigations, and contact information that regulators, property owners, or event organizers use to evaluate safety and compliance. For commercial operations, the form often complements FAA Part 107 authorizations or waivers and can be adapted for research, film production, public safety, or private property permission requests.

Why a clear Drone Use Application Form matters for compliance and risk control

A complete, consistent application clarifies the scope of flights, assigns operational responsibility, and establishes required mitigations (e.g., visual observers, geofencing). Proper documentation reduces approval delays, supports insurance and liability determinations, and creates an auditable record for regulators or stakeholders under federal and state rules, including FAA Part 107 operational requirements and applicable state aviation or privacy laws.

Typical organizations and people who complete this form

Common applicants include commercial drone operators, film production companies, survey and inspection firms, public safety units, and event producers who need site or airspace permission.

  • Commercial operators conducting paid aerial work for clients or vendors.
  • Municipal or public-safety agencies for incident response, search, or mapping.
  • Media and production teams filming on private property or public events.

Reviewing the list below helps you decide whether to use this form or a specialized FAA application (e.g., a Part 107 waiver) instead.

Who can sign and authorize the application

Operator / PIC

The pilot in command (PIC) or designated operator must sign to attest to operational details, training, and adherence to FAA Part 107 rules. Their signature confirms responsibility for safety measures and for obtaining any additional authorizations required by airspace authorities.

Property Owner

A landowner, facility manager, or event organizer signs to grant site access or express consent for flights over private property. Their signature documents permission, any site-specific restrictions, and contact information for on-site coordination.

Essential sections every professional Drone Use Application Form should include

A robust form organizes information for quick review and consistent approvals. Include sections that allow reviewers to assess risk, confirm identities, and understand operational constraints before clearing flights.

Applicant Details

Legal name, company, contact phone and email, FAA remote pilot certificate number (if applicable), and operator address to verify identity and accountability.

Aircraft Information

Make, model, serial number, weight class, payload (camera, sensor), and any modifications that affect flight characteristics or safety.

Operation Summary

Purpose of flight, exact location(s) with coordinates or map attachment, dates and start/end times, altitude ceiling, and planned flight paths.

Safety Measures

Mitigations such as visual observers, lost-link procedures, geofencing, NOTAM checks, and contingency plans for emergencies or unplanned entries into controlled airspace.

Insurance and Liability

Evidence of liability insurance limits, policy number, and any indemnification clauses requested by property owners or event organizers.

Permissions and Attachments

FAA authorizations, landowner consent, insurance certificates, risk assessments, and any state or local permits referenced or attached to the application.

Where to send the completed application and typical review path

A clear routing path speeds approvals and documents responsibility. Common destinations include municipal aviation offices, property managers, event safety teams, and internal compliance units.

  • Submit to Authority: Email or upload to local aviation or event office
  • Property Owner: Send copy to landowner for signature
  • Insurance Reviewer: Provide policy details for coverage check
  • Operations Team: Notify PIC and ground crew after approval

Digital signing and eSubmission options

Use an e-signature workflow that preserves an audit trail, supports attachments, and can export the signed file to PDF/A or DOCX.

  • File formats: PDF, DOCX supported
  • Integrations: Common: Google Workspace, Microsoft 365, NetSuite
  • Authentication: Email link, SMS code, or stronger KBA

Standard Review Time:

3–10 business days typical for municipal or event reviews

Expedited Requests:

48–72 hours when approved by manager

FAA Authorizations:

Part 107 waivers or airspace authorizations may take weeks

Last-minute Operations:

Expect denials or additional conditions for same-day requests

Seasonal Peaks:

Longer waits near large events or holidays

Common mistakes to avoid when preparing the application

  • Incomplete location details: failing to include coordinates or a clear map often triggers extra review and delays approval.
  • Missing FAA info: omitting the remote pilot certificate or Authorization/Waiver details can force resubmission or denial.
  • Vague safety plans: describing only high-level mitigations instead of specific procedures limits trust and may lead to conditional approvals.
  • Incorrect insurance data: listing insufficient policy limits or failing to attach the certificate often results in rejection.

Penalties and operational risks of incorrect or unauthorized drone operations

Regulatory Fines: Civil penalties
Operational Suspension: Permission revoked
Insurance Denial: Claims refused
Criminal Exposure: Intentional violations
Liability Suits: Third-party claims
Reputational Harm: Contract loss
