What eCommerce eBay Exhibits Are and when they apply

eCommerce eBay Exhibits are documentary attachments used to support listings, disputes, or transaction records on online marketplaces. They typically include screen captures, invoices, shipping proofs, product specifications, correspondence, and other evidence that explains or substantiates a seller's or buyer's claim. Exhibits are formatted and assembled so that reviewers, arbitrators, or support teams can quickly verify facts and timelines. For many sellers and service providers the exhibits become part of a record that may affect refunds, claim outcomes, or downstream accounting and tax reporting obligations.

Why clear, complete exhibits matter for eBay transactions

Accurate exhibits reduce dispute resolution time, lower the risk of incorrect decisions, and preserve evidence for accounting, tax, or legal follow-up. Well-structured documents make it easier for reviewers to verify shipment, condition, and authenticity details without repeated information requests.

Why clear, complete exhibits matter for eBay transactions

Who prepares and relies on eCommerce eBay Exhibits

Ensuring each role knows required fields and retention rules reduces case rework and regulatory exposure.

  • Sellers and marketplace operations teams who compile order records, tracking, and product photos for disputes or claims.
  • Customer support and legal teams that evaluate evidence during appeals, chargebacks, or policy investigations.
  • Accounting and tax personnel who retain invoices and transaction records for compliance and reporting.

Step-by-step: assembling an effective eBay exhibit bundle

Follow these four steps to prepare a consistent exhibit package for submission.

  • 01
Collect Originals: Gather invoice, tracking, photos, and buyer messages in a single folder.
  • 02
Label Files: Use the Exhibit Title and Order Number in each filename.
  • 03
Combine into PDF: Merge files into one PDF to preserve page order and metadata.
  • 04
Attach & Confirm: Upload to the case or attach signing record before finalizing.

Typical online submission flow for exhibits

This workflow shows how an exhibit moves from preparation to review on a marketplace platform.

  • Prepare files: Collect and name supporting documents.
  • Merge and annotate: Combine items and add brief captions or page notes.
  • Upload to case: Attach the combined PDF to the eBay case or seller resolution center.
  • Confirm receipt: Save the portal confirmation or email acknowledgment.

Common mistakes when preparing eCommerce exhibits

  • Missing or partial documentation that leaves key timeline gaps and requires repeated requests for clarification.
  • Mismatched names or order numbers between documents, causing reviewers to question authenticity or relevance.
  • Low-quality or unlabelled photos that fail to show condition, item identifiers, or packaging clearly.
  • Submitting multiple unmerged files rather than a single ordered PDF, which increases reviewer friction and processing time.

Practical tips for accurate and efficient exhibits

Apply consistent naming, file formats, and a checklist approach to reduce errors and improve processing speed.

Use a standard template
Create an exhibit cover page that lists Order ID, exhibit number, preparer name, and a one-sentence summary to orient reviewers and ensure consistent presentation.
Preserve metadata
Export PDFs with embedded metadata and timestamps where possible so file creation dates and modification history remain available for audits.
Consolidate files
Merge related documents into a single PDF to maintain order, reduce upload errors, and simplify case navigation for reviewers.
Record attestations
Include a signer declaration or attestation page with the preparer’s full name, date, and contact details to strengthen attribution and credibility.
