What the Econo Lodge Rental Agreement Covers

The Econo Lodge Rental Agreement is a standardized lodging contract used to document short-term occupancy terms between a guest and an Econo Lodge property. It records dates of stay, room rate, taxes and fees, payment method, guest contact details, and hotel policies such as cancellation, damages, and smoking. The agreement creates a clear record of the lodging transaction, allocates liability for property damage, and supports tax and accounting workflows for both the hotel and guest. It can be executed on paper or electronically when parties consent to e-signatures.

Why a Clear Rental Agreement Matters

A written Econo Lodge Rental Agreement reduces disputes, clarifies costs and house rules, and documents consent to charges and liability terms. For electronic execution, e-signature laws provide legal parity with handwritten signatures when the transaction meets statutory requirements.

Why a Clear Rental Agreement Matters

Primary Users and Stakeholders

Property managers, front-desk staff, corporate travel coordinators, and guests commonly complete the Econo Lodge Rental Agreement.

  • Hotel front-desk staff: Enter guest name, dates, room type, rate, and accept payment or card authorization at check-in.
  • Corporate travel coordinators: Apply negotiated rates, ensure invoicing fields and traveler authorization are completed for billing.
  • Guests and signers: Review charges, confirm identity, and sign electronically or on paper to accept terms.

Accurate completion by these parties supports audit trails, chargebacks defense, and consistent enforcement of house rules.

DFARS/PCI: PCI DSS for card data

Common Preparation Pitfalls to Avoid

  • Missing or inconsistent guest names cause disputes and can trigger chargebacks when cardholder name does not match the signed agreement.
  • Unclear cancellation terms lead to guest confusion; ambiguous refund language increases customer service workload and refund errors.
  • Incomplete payment authorizations leave hotels unable to collect damage charges promptly and can require legal collection steps.
  • Improper storage of signed records defeats evidentiary value; retain originals or reliable electronic copies with audit trails.

Chargebacks: Increased dispute losses
Regulatory Fines: Privacy or PCI penalties
Liability Claims: Property damage disputes
