What the Elevator Maintenance Work Order Is

An Elevator Maintenance Work Order is a standardized document used to request, record, and authorize inspection, repair, or preventive maintenance on an elevator or vertical transportation system. It documents building and unit identification, scope of work, safety checks performed, parts used, labor hours, technician credentials, and completion status so building owners, managers, inspectors, and contractors have a single authoritative record for service and compliance.

Why a Complete Work Order Matters

A well-completed work order creates an auditable record that supports safety compliance, warranty claims, insurance coverage, and future service planning while reducing operational disputes and downtime.

Why a Complete Work Order Matters

Who Typically Prepares and Uses This Work Order

Accurate entries help each stakeholder meet regulatory, warranty, and insurance obligations while preserving a clear audit trail.

  • Building owners and property managers who authorize work and retain service history for safety and liability management.
  • Maintenance contractors and certified elevator technicians who record inspections, repairs, parts, and labor details.
  • Facility/safety officers and local inspectors who review completed orders for code compliance and recordkeeping.

Step-by-Step: Completing the Work Order

Follow these steps to create, assign, execute, and close a complete maintenance work order for an elevator.

  • 01
Create Request: Enter requester, location, priority, and initial issue description.
  • 02
Schedule Service: Assign technician, confirm availability, and set service date/time.
  • 03
Perform Inspection: Complete safety checks, record measurements, and note any defects.
  • 04
Close and Archive: Capture final signatures, attach photos/invoices, then store for retention.

Essential Sections in a Professional Work Order

A complete work order organizes information so technicians, managers, and regulators can quickly verify service status and compliance.

Identification

Includes work order number, building name, elevator serial number, unit/location, and requester contact information for clear asset linking.

Scope of Work

Specifies tasks requested or required, prioritized safety items, acceptance criteria, and any special access or permit needs for the job.

Inspection Checklist

Lists standard safety and operational checks (doors, brakes, buffers, emergency systems) with pass/fail and measurement fields for traceability.

Parts and Materials

Records part numbers, quantities, serials, supplier invoices, and whether parts replaced are OEM or aftermarket for warranty and audit purposes.

Labor and Rates

Documents technician hours, hourly rates, travel time, and overtime where applicable for accurate billing and cost tracking.

Signatures and Evidence

Includes technician signature, requester acceptance, date/time, and attachments (photos, test logs, permits) to establish completion.

Data and Security Elements to Include

Encryption: TLS 1.2/1.3
At-Rest Protection: AES-256 storage
Audit Trail: Signed action log
HIPAA Controls: BAA available
Access Controls: Role-based permissions
Retention & Backup: Secure backups, versioning

Common Preparation Mistakes to Avoid

  • Incomplete equipment identification: omitting the serial or asset tag makes it hard to match service to the correct unit and complicates warranty claims.
  • Vague work descriptions: using non-specific language such as 'repair as needed' prevents clear scope, creates disputes, and delays approval for parts.
  • Missing technician credentials: failing to record license numbers or certifications can violate local contractor rules and invalidate inspection reports.
  • Poor evidence capture: not attaching photos, test logs, or part invoices reduces proof of compliance and increases liability after an incident.

Penalties and Risks of Incorrect or Missing Records

Operational Risk: Increased accident liability
Regulatory Fines: Local code penalties
Warranty Loss: Voided manufacturer claims
Insurance Exposure: Claim denials
Contract Disputes: Billing disagreements
Inspection Failure: Delayed occupancy or service

How the Work Order Moves Through Your Team

  • Request Submitted: Requester enters details and required access.
  • Authorized: Manager approves budget and schedule.
  • Technician Dispatch: Assigned technician receives order and attends site.
  • Complete & Archive: Final sign-off, attach evidence, close record.
