What an Email Template Is and when to use it

An Email Template is a reusable message layout used to request signatures, share documents, or communicate standardized information to recipients. For eSignature workflows it typically includes subject, a concise purpose statement, signing instructions or links, attachment references, and any legally required consumer disclosures. Using a template reduces editing errors, ensures consistent legal language when consumer disclosures are required, and speeds high-volume sending across desktop and mobile devices.

Why a consistent Email Template matters in signing workflows

A clear template reduces signer confusion, improves completion rates, and supports compliance by ensuring required disclosures and signature instructions are always present.

Why a consistent Email Template matters in signing workflows

Core elements every Email Template should include

Design your Email Template so recipients understand the action requested, why it matters, and how to complete it securely. Keep language simple and include attachments and authentication instructions.

Subject Line

Write a concise subject that includes document type and action, e.g., 'Please sign: Rental Agreement — 1 page'.

Opening Purpose

One brief sentence explaining what the document is and why the recipient must act now; mention deadline where applicable.

Signing Instructions

Explain how to open the link, authenticate (email/SMS/KBA), and where to sign so recipients can complete without help.

Attachments & Links

List attached files and indicate file formats; note whether the signed copy will be returned by email automatically.

Legal Disclosure

Include required consumer-facing disclosures when applicable (ESIGN consumer consent language for financial/health benefits).

Signature Block

Provide sender name, title, and contact details so recipients can confirm authenticity and request help if needed.

Step-by-step: prepare an Email Template for eSignature

Follow these steps to make an Email Template that guides recipients through authentication, signing, and receiving a signed copy.

  • 01
Create subject: Draft a clear, action-oriented subject line under 60 characters.
  • 02
Write purpose: Add one short paragraph describing the document and deadline.
  • 03
Attach files: Attach PDF/DOCX and reference them in the message body.
  • 04
Include disclosure: Add ESIGN consent language for consumer-facing records when required.

Configuring the sending workflow for your Email Template

Match template fields to your signing platform settings so messages, reminders, and authentication behave predictably when sent at scale.

Field Configuration
Authentication Email link, optional SMS code, or stronger KBA depending on risk
Reminders Set automatic reminders at 3 and 7 days if unsigned
Expiry Configure link expiration (e.g., 14–30 days) to reduce stale links
Callback Enable confirmation email with audit certificate on completion

How Email Templates fit into the signing workflow

An Email Template is one component of the end-to-end flow from sender to archived executed document.

  • Sender prepares: Upload document and select template
  • System sends: Platform sends templated email with signing link
  • Signer completes: Recipient authenticates and signs
  • Archive: Signed document and audit trail are stored

Technical considerations when using an Email Template with eSign

Ensure the platform supports the file formats, authentication levels, and integrations you need before deploying templates.

  • Integrations: Salesforce, NetSuite, MS 365, Google Workspace support
  • File formats: PDF, DOCX, HTML, Excel accepted
  • Authentication: Email link, SMS code, KBA, or SSO

Security and compliance items to include or reference in Email Templates

Transport Encryption: TLS 1.2/1.3
Data at Rest: AES-256
Audit Trail: Timestamped events recorded
HIPAA Support: BAA available
21 CFR Part 11: Compliant options available
Access Controls: Role-based authentication

Key risks and potential penalties tied to incorrect Email Templates

Missing TIN: Triggers 24% backup withholding
Late 1099: $60–$330 per form penalty
Intentional disregard: $660+ per form
I-9 errors: $281–$2,789 per violation
HIPAA breach: Civil penalties and corrective action
Invalid consent: Record may be unenforceable

Common mistakes when building Email Templates and how they affect signing

  • Using vague subject lines that trigger spam filters or reduce open rates, causing delayed or failed signature completion.
  • Omitting ESIGN consumer consent for required transactions, which can render an electronic record noncompliant for consumer-facing financial or benefits documents.
  • Attaching non-searchable scanned documents instead of machine-readable PDFs, increasing reviewer time and introducing data capture errors.
  • Relying on a single weak authentication method for high-risk documents, increasing exposure to unauthorized signings and fraud.

Who typically creates and sends Email Templates in signing workflows

Email Templates are used across roles to standardize signer instructions, reduce compliance risk, and accelerate turnaround.

  • Accounts payable teams sending invoice approval requests and vendor forms.
  • HR teams using templates for offer letters, onboarding forms, and policy acknowledgements.
  • Real estate agents distributing leases and disclosure packets to multiple recipients.

Standardizing templates across these groups reduces manual errors and ensures legally required language and disclosures are consistently applied.

Typical sender and approver profiles

Hiring Manager

A hiring manager typically prepares offer documents and templates, ensures the correct attachments are included, and confirms that consumer disclosures are present for background checks or benefits enrollment.

Accounts Payable Lead

This profile manages vendor onboarding templates, attaches tax forms like the W-9, and confirms TIN fields and backup withholding instructions are accurate before sending.

Comparing Email Template delivery vs direct platform signing links

Choose the delivery method that balances signer convenience, authentication strength, and auditability for the transaction's risk level.

Method Email Template In-Platform Link
Requires Email optional
Guest Signing
Auth Options email/sms/kba email/sms/kba/sso
Best for mass sends single sensitive transactions
