Practical Tips to Improve Accuracy and Compliance

Adopt these best practices to reduce errors, meet compliance, and speed processing of Employee Assistance Program Release Forms.

Standardize a template
Use a single, legally reviewed template across the organization to ensure consistent language, reduce interpretation variance, and speed approvals. Maintain version control and require periodic legal review for statutory changes.
Limit scope narrowly
Specify exact categories of information and purpose for disclosure. Narrow scope reduces privacy and legal risk and makes it easier to comply with state and federal privacy rules.
Document consent clearly
Record signer identity, date, authentication method, and an audit trail. Include a clear consumer disclosure where required under ESIGN (15 U.S.C. §7001) for consumer-facing situations.
Secure storage and access
Store signed releases in encrypted systems with role-based access. Retain exportable signed copies and maintain retention schedules consistent with HIPAA, IRS, and state rules.
