What an Employee Relocation Request Is and when it’s used

An Employee Relocation Request is a standardized HR form an employee completes to request approval and assistance for a job-related move. It captures employee identity, current and destination addresses, proposed relocation dates, requested benefits (moving allowance, temporary housing, travel), and an estimated cost breakdown. The form initiates manager review, HR benefits and payroll checks, and any third‑party relocation vendor coordination. Used for internal transfers, new hires requiring relocation, and position‑based moves, the document supports audit trails and can be processed electronically to speed approvals and preserve records.

Why a clear relocation request matters for employers and employees

A formal Employee Relocation Request creates a single record for approvals, cost control, and tax reporting. It clarifies responsibilities, reduces processing delays, and creates an auditable trail; electronic execution is permitted under the ESIGN Act (15 U.S.C. ch. 96) and state UETA laws.

Why a clear relocation request matters for employers and employees

Who typically prepares and reviews these relocation requests

Common participants complete, review, or approve relocation requests within HR and business units.

  • Relocating employee: Provides personal, address, timing, and assistance preferences; signs the request.
  • Hiring manager or supervisor: Reviews business justification and approves or requests changes.
  • HR/Relocation coordinator: Verifies benefits, runs cost estimates, and finalizes vendor arrangements.

Accurate completion by the employee and timely review by managers and HR avoids processing delays and expense disputes.

Step-by-step: completing and routing a relocation request

Follow these sequential steps to complete the Request and move it through approvals efficiently.

  • 01
Draft Request: Populate fields and attach estimates.
  • 02
Employee Sign: Sign to confirm intent.
  • 03
Manager Review: Approve or return for changes.
  • 04
HR Finalize: Confirm benefits, costs, and vendor setup.

Configuring an electronic workflow for the relocation request
