What the End of Term Document PG Is

The End of Term Document PG is a standardized closing package used to document the end of a contractual term — for example employment separation, lease termination, program completion, or service contract closeout. It records final obligations, returned property, final payments, tax- and benefit-related disclosures, and any mutual releases. The package is intended to create a clear, auditable record that can be retained for regulatory compliance and future reference, and it is suitable for delivery as a signed electronic record under U.S. e-signature law when the parties consent.

Why a Clear End of Term Document PG Matters

A well-structured End of Term Document PG reduces post-termination disputes, documents final accounting, and supports compliance with tax, employment, or records-retention rules. It creates a single source of truth for final obligations and preserves evidence of consent and performance.

Common Risks and Penalties from Incorrect or Incomplete Documents

Incorrect TIN: Backup withholding at 24% may apply
Late 1099 Filing: Penalties $60/$130/$330 per form (IRC §6721)
I-9 Violations: Civil fines $281–$2,789 per violation

Poor Retention: Loss of audit evidence and regulatory noncompliance

Key Filing and Reporting Deadlines Often Linked to Termination

Some post-termination obligations trigger time-sensitive filings or tax reporting; track these deadlines to avoid penalties.

Final Pay / Payroll Reporting:

Employer must process final pay per state rule; issue W-2 to employee by Jan 31

1099-NEC / Independent Contractor:

Provide recipient and IRS copies by Jan 31 for nonemployee compensation

Form 1040 Deadline:

Individual tax return due April 15 (Oct 15 extension available with Form 4868)

FBAR:

FinCEN 114 due April 15 with automatic extension to Oct 15

W-9 Requests:

No fixed deadline — collect upon payer’s request to avoid backup withholding

Best Practices to Reduce Risk and Speed Resolution

Adopt consistent procedures and templates to limit errors and ensure compliant execution across locations.

Verify Legal Names and IDs
Confirm names against government ID or corporate registration and match TINs before signing. Inaccurate identity data leads to tax reporting problems and potential backup withholding.
Use Clear Release Language
Draft narrow, specific release clauses that list the matters being released and any exceptions. Broad or ambiguous releases are often litigated and may not be enforceable.
Prefer Electronic Records with Audit Trails
Where permitted, use eSignatures that capture timestamp, IP, and authentication method to preserve admissible evidence under ESIGN and UETA.
Centralize Retention and Access
Store signed documents in a secure repository with role-based access and regular backups. Apply retention schedules consistent with IRS, HIPAA, or industry requirements.
