What an Energy Analysis Report Is and What It Includes

An Energy Analysis Report documents a property's historical energy consumption, models potential savings from efficiency measures, and estimates costs and payback. Typical content includes baseline usage, meter and utility data, onsite observations, load profiles, retrofit options, life-cycle cost estimates, and an executive summary. The report supports decision-making for building owners, facility managers, lenders, incentive programs, and project teams seeking to prioritize investments, apply for rebates or meet regulatory energy targets. It may accompany proposals, grant applications, or construction specifications.

Why an Energy Analysis Report Matters

A well-prepared Energy Analysis Report quantifies baseline consumption, compares improvement scenarios, and clarifies financial and operational trade-offs, helping owners and stakeholders make evidence-based decisions.

Why an Energy Analysis Report Matters

Who Typically Prepares and Uses This Report

The Energy Analysis Report is used by a range of professionals who evaluate, finance, or implement energy efficiency work.

  • Building owners and property managers seeking cost, comfort, and compliance clarity for capital planning
  • Energy consultants and mechanical engineers producing technical assessments and savings estimates
  • Lenders, investors, and program administrators reviewing projected cash flows and incentive eligibility

Deliverables are shared with decision makers, permitting or incentive administrators, and operations teams to guide implementation and verify savings.

Step-by-Step: Completing an Energy Analysis Report

Follow these steps to collect data, analyze consumption, and compile a defensible report.

  • 01
Gather documents: Collect utility bills, equipment lists, and previous audits.
  • 02
Inspect site: Verify equipment, operating schedules, and control settings.
  • 03
Analyze usage: Normalize data and model baseline consumption.
  • 04
Compile report: Summarize findings, costs, savings, and next steps.

Typical Electronic Workflow for Report Preparation and Submission

An online workflow speeds routing, captures an audit trail, and centralizes storage for stakeholders and reviewers.

  • Upload documents: Import PDF or DOCX reports and supporting files.
  • Place fields: Add signature, date, and checkbox fields for approvals.
  • Add signers: Enter recipient emails and sequential signing order.
  • Track completion: Receive signed copies and a completion certificate.

Configuring a Digital Review and Signing Workflow

Set required authentication, template behavior, and storage options before sending the report for signature.

Field Configuration
Authentication Email link or SMS code for signer verification
Templates Save report layout as reusable template
Conditional Fields Show or hide retrofit sections by project type
Audit Trail Enable IP, timestamp, and action logging

Technical and Integration Requirements for eSubmission

Choose a signing platform that supports required integrations, file formats, and security controls.

  • Integrations: Salesforce, NetSuite, Google Workspace
  • File formats: PDF, DOCX, XLSX, HTML
  • Authentication: Email, SMS, or advanced signer verification

Confirm storage, export, and API needs up front to avoid rework and ensure traceability.

Essential Components of a Professional Energy Analysis Report

A complete report mixes technical analysis with clear financial metrics so stakeholders can compare options and make decisions.

Executive Summary

One-page overview that states baseline consumption, recommended measures, estimated annual savings, total project cost, and simple payback so nontechnical stakeholders can decide quickly.

Baseline Consumption

Normalized energy and demand profile using at least 12 months of utility data; document normalization methods and any weather adjustments applied.

Modeling & Forecasts

Simulation or engineering calculations estimating savings per measure, assumptions used, and sensitivity to operational changes and occupancy.

Cost-Benefit Analysis

Line‑item costs, incentives, lifecycle cost, NPV, and simple payback presented for each recommended retrofit or operational change.

Implementation Roadmap

Phased schedule, responsible parties, and deliverables to move from recommendation to installation and verification.

Appendices & Data

Supporting meter reads, equipment lists, calculation spreadsheets, and measurement and verification (M&V) plan.

Security and Compliance Controls to Protect Report Data

In-transit encryption: TLS 1.2/1.3
At-rest encryption: AES-256
Audit logging: Comprehensive action logs
Certifications: SOC 2 Type II
Health-data support: HIPAA available with BAA
Regulatory support: 21 CFR Part 11 compatible

Common Consequences of an Incorrect or Incomplete Report

Misstated Savings: Invalidates projections
Missing Signatures: Questionable enforceability
Late Submission: Ineligibility for rebates
Non‑compliant Data: Regulatory penalties possible
Inaccurate Costs: Budget overruns
Data Exposure: Privacy breach risk

Practical Pitfalls to Avoid When Preparing the Report

  • Incomplete utility datasets that skip billing months or meter exports produce biased baselines and incorrect savings projections.
  • Using inconsistent units or failing to document conversion factors can create calculation errors during cost-benefit analysis.
  • Omitting operational schedules and occupant behavior assumptions leads to unrealistic energy models and missed measures.
  • Failing to record measurement and verification (M&V) plans prevents post-installation validation and undermines incentive eligibility.

Key Dates and Time-Sensitive Considerations

Track deadlines for client deliverables, incentive programs, and document retention to avoid missed opportunities or compliance issues.

Client delivery date:

Set mutually agreed date for final report and supporting files.

Incentive application deadline:

Align report completion with rebate or grant submission windows.

Utility data request window:

Allow 2–6 weeks for utility authorization and data retrieval.

M&V start date:

Define when post-installation monitoring begins to validate savings.

Retention start:

Record retention begins on report creation or signature date.
