What the Etix Travel Service Agreement Covers

The Etix Travel Service Agreement is a written contract between an event organizer or ticketing platform and a travel or hospitality provider that defines services, fees, responsibilities, and cancellation and refund terms for travel-related services tied to events. Typical provisions address scope of services, payment terms, ticket or travel product delivery, liability allocation, insurance and indemnity, consumer refund and change policies, data handling for passenger or attendee information, and dispute resolution. This agreement is intended to document expectations and reduce downstream disputes when travel bookings and event tickets are sold together.

Real-world ways organizations use a travel service agreement

Practical examples show how clauses and workflows reduce friction when selling event-linked travel packages.

Venue Package Coordination

A venue bundles hotel and shuttle services with tickets to streamline logistics.

  • The agreement specifies delivery and refund flows.
  • This reduces customer service disputes and clarifies supplier reimbursement when events change or are canceled.

Third-Party Tour Operator

A tour operator sells escorted city tours with event access.

  • The contract assigns liability and refund responsibilities.
  • Clear supplier pass-through clauses ensure quick refunds to customers and protect the ticketing platform from unexpected supplier failures.

Practical tips for accurate and efficient completion

Adopt consistent template practices to reduce negotiation time and signing errors.

Standardize Templates
Use a single vetted template and update exhibits rather than redrafting core terms for each package.
Use Conditional Fields
Add conditional fields for optional services to avoid leaving blanks or inconsistent clauses.
Document Versioning
Keep version control and date-stamped drafts to track negotiated changes and approvals.
Audit Trail Preservation
Maintain signed PDFs with audit logs to support enforceability and dispute resolution.

Typical signatory roles and responsibilities

Event Manager

Often responsible for approving package terms, confirming supplier performance obligations, and ensuring refunds or adjustments follow the agreement; coordinates with accounts payable and operations teams to verify payments and service delivery.

Travel Vendor
