What an Event Accompaniment Agreement Covers

An Event Accompaniment Agreement is a written contract that defines the terms under which a person or service provides accompaniment, support, or representation at an event on behalf of another party. It clarifies scope of services, duties, fees, duration, confidentiality, and liability allocation, and it identifies who will provide access or credentials. Typical users include event hosts, attendees requiring assistance, professional escorts, or organizational representatives. The agreement can be used for single events or ongoing assignments and is designed to reduce misunderstandings and document responsibilities in a legally enforceable format.

Why Use an Event Accompaniment Agreement

Use an Event Accompaniment Agreement to set clear expectations, allocate liability, and document payment terms. It protects both parties by defining services, access rights, confidentiality, and cancellation rules, reducing disputes and supporting enforceability under applicable electronic signature laws.

Why Use an Event Accompaniment Agreement

Typical Parties and Use Cases

Typical signers include event hosts, accompanied guests, professional companions, and organizations arranging representation at conferences, trade shows, or private functions.

  • Event organizers coordinating third-party accompaniment services for attendees or VIPs.
  • Individuals with mobility, accessibility, or language needs who require on-site support.
  • Professional companions, chaperones, or security liaisons contracted to represent a party at events.

Agreements are often executed by authorized representatives, event managers, or legal guardians where capacity or consent issues exist.

Essential Sections to Include in the Agreement

Core sections of an Event Accompaniment Agreement provide clarity on who, what, when, compensation, confidentiality, liability allocation, and procedures for changes or cancellations.

Parties

Identify each party by full legal name, role, and contact information; specify whether the companion is an individual contractor, employee, or agency and include any required proof of authority or credentials.

Scope

Describe services to be provided during the event, including duration, specific duties (e.g., accompaniment, liaison, interpretation), permitted access areas, and any restrictions or conduct expectations for the companion.

Schedule

List event dates and start/end times, rehearsal and setup windows, travel or lodging arrangements, and provisions for overtime, delays, or last-minute schedule changes.

Payment

State fees, payment schedule, deposit requirements, reimbursement policies for expenses, accepted payment methods, and consequences for late or missed payments including recovery of collection costs.

Confidentiality

Include non-disclosure obligations for sensitive information observed at events, data handling rules, photo or recording permissions, and duration of confidentiality obligations post-event.

Liability & Indemnity

Allocate responsibility for accidents, property damage, or third-party claims; specify insurance requirements, limits of liability, and indemnification obligations between the parties.

Common Preparation Mistakes to Avoid

  • Failing to identify signatory capacity or authority — signing as 'Friend' or without corporate title can render the agreement unenforceable or require ratification.
  • Using vague scope language such as 'assist as needed' without specific duties, locations, or hours increases the risk of disputes and unexpected liability.
  • Neglecting to define payment terms, deposits, and refund policies commonly causes collection issues and disputes after the event concludes.
  • Omitting privacy and photography permissions can lead to post-event claims if the companion records interactions or shares attendee information.

Risks and Consequences of an Improper Agreement

Enforceability Risk: Incorrect signature authority or capacity.
Payment Disputes: Unclear fees cause litigation.
Venue Denial: Missing credentials may bar access.
Privacy Exposure: Unauthorized recording or disclosure.
Insurance Gap: Insufficient liability coverage.
Regulatory Noncompliance: HIPAA or venue rules breach.

Practical Examples of Agreement Use

Real-world examples show how agreements prevent disputes and clarify responsibilities and roles in diverse event settings.

  • All signatures collected electronically for faster turnaround.
  • As a result, the team avoided scheduling conflicts, reduced follow-up disputes about duties, and retained a consistent record for billing and insurance claims when incidents required review.

Martin Properties

Martin Properties adopted an Event Accompaniment Agreement for property showing escorts to set conduct standards and clarify liability when third-party agents accompanied prospective tenants.

  • Included insurance minimums and emergency contact protocols.
  • This reduced last-minute cancellations, clarified who paid for travel-related expenses, and provided a defensible audit trail in the event of disputes over access or damages to listed properties.
