What the Event Booth Option Is and When it Applies

The Event Booth Option is a standardized form used to request or select booth features and services for trade shows, conferences, and other exhibitions. It records choices such as booth size, location preferences, electrical and internet needs, furniture and signage, shipping and installation timings, and any add-on services. Organizers use the completed option to allocate space, generate invoices, and coordinate logistics with vendors. Completed Event Booth Options form part of the contract between exhibitor and organizer and should be retained with other event records for operational and compliance purposes.

Why completing an Event Booth Option matters

A clear Event Booth Option documents exhibitor selections and prevents misunderstandings about space, services, and costs. It creates a single reference for operations, billing, and post-event reconciliation while enabling accurate scheduling of deliveries and installers.

Why completing an Event Booth Option matters

Who typically completes the Event Booth Option

Event organizers, exhibitors, and third-party service providers all rely on the Event Booth Option to coordinate space assignments and on-site services.

  • Exhibitor operations staff responsible for specifying booth layout, utilities, and show services in a consistent format.
  • Event production teams that use submitted options to plan floor maps, power distribution, and installation schedules.
  • Third-party vendors (rigging, AV, freight) who need accurate service and timing details to provide estimates and confirmations.

Accurate completion reduces on-site adjustments and billing disputes and speeds the exhibitor onboarding process.

Step-by-step: completing the Event Booth Option

Follow these steps in order to ensure the form is accepted and actioned by show operations.

  • 01
Gather details: Collect exhibitor legal name, contact, and invoice information.
  • 02
Select booth options: Choose size, location preferences, and utilities required.
  • 03
Attach supporting files: Upload floor plans, logos, and insurance certificates if requested.
  • 04

  • Vendor Dispatch: Third-party vendors receive specifications for quotes and scheduling.
  • Exhibitor Record: Final signed option stored with exhibitor's event file.

Digital submission and platform requirements

  • File formats: PDF, DOCX, and JPEG are widely accepted.
  • Authentication: Email and SMS codes suffice for standard approvals.
  • Integrations: Connect with CRM and accounting systems for automation.

Choose software that captures timestamps, signer identity, and attachments; this simplifies dispute resolution and reconciles vendor rosters with exhibitor orders.

Real-world examples of using Event Booth Options

The following examples show how organizations use structured booth options to streamline operations and vendor coordination.

Optica Ventures — Operations

Optica consolidated exhibitor selections into a single data feed for logistics

  • This reduced move-in errors by eliminating conflicting requests
  • The operations team credited the structured form with clearer vendor instructions and fewer on-site corrections, improving setup predictability and exhibitor satisfaction.

Xerox — Integration

Xerox integrated booth options with their NetSuite instance to auto-generate invoices

  • The integration linked selected services to billing codes
  • This automated approach cut manual billing steps, ensured consistent chargeback accounting, and sped vendor payments while preserving audit trails.

Practical tips for accurate and efficient completion

Adopt these practices to reduce errors, speed processing, and limit extra costs associated with corrections or late changes.

Use consistent names and addresses
Enter exhibitor legal name and billing address exactly as on invoices and tax records to prevent payment delays and reconciliation issues between organizer and exhibitor.
Order services early
Reserve power, internet, and AV before cutoff dates to avoid higher rates and limited availability during move-in and to give vendors adequate lead time.
Attach required documentation
Upload insurance certificates, permits, and floor plans during submission to prevent access denials or missing-service situations at the event site.
Keep a signed record
Store the executed option and audit trail in a secure repository for at least the recommended retention period to support disputes, audits, and financial reviews.
