What the Event Booth Package Is and When It Applies

An Event Booth Package is a bundled set of documents and specifications used to plan, authorize, and execute an exhibitor space at a trade show, conference, or public event. Typical contents include booth layout drawings, exhibitor agreements, insurance certificates, electrical and rigging orders, shipping instructions, and municipal permits. The package standardizes requirements among the exhibitor, show organizer, service contractors, and venue, reducing misunderstandings and supporting regulatory compliance for safety, ADA access, and local permitting.

Why a Complete Package Matters for Event Compliance and Efficiency

A complete Event Booth Package reduces last-minute changes, ensures vendor and venue requirements are met, and documents legal and safety responsibilities.

Why a Complete Package Matters for Event Compliance and Efficiency

Who Typically Prepares and Reviews an Event Booth Package

Event organizers, exhibitors, general service contractors, show decorators, and venue operations teams commonly assemble or consume the package.

  • Exhibitor operations teams responsible for booth design, shipping, and on-site staffing.
  • Show management and operations verifying permits, floor plans, and venue rules.
  • General service contractors handling electrical, rigging, and labor orders.

Legal, facilities, and insurance contacts review the package for risk, compliance, and contractual obligations before final approval.

Core Components of a Professional Event Booth Package

A professionally prepared package groups technical, legal, and logistical items so stakeholders can act quickly and consistently when planning or auditing an exhibit.

Booth Layout

Scaled floor plan showing dimensions, sightlines, fixed obstructions, ADA access routes, and location of utilities for venue approval and contractor setup.

Exhibitor Agreement

Signed contract between exhibitor and show organizer describing booth rights, payment terms, cancellation policy, and indemnity obligations.

Insurance Certificate

General liability and, if required, additional insured endorsement naming the venue and organizer with coverage limits and effective dates.

Electrical & Rigging Orders

Line-item service order indicating power specifications, distribution points, rigging heights, load limits, and installation deadlines.

Shipping Instructions

Advance warehouse address, inbound/outbound timelines, labels, and handling instructions required by the carrier and show contractor.

Permit & Compliance Docs

Local permits, fire marshal approvals, and any special event licenses required by municipal authorities or the venue.

Copies of business or contracting licenses for any third-party vendors performing installation or rigging work at the event.

Floorplan Drawings

Scaled CAD or PDF plans showing dimensions, orientation, access points, and emergency egress paths for approval by venue safety staff.

Common Deadlines and Timing Expectations

Track the critical submission windows for permits, services, and shipping to avoid late charges and setup disruptions.

Permit Application Deadline:

Typically 30–90 days before event; local rules vary.

Electrical Order Cutoff:

Usually 14–21 days prior to move-in; late orders incur higher fees.

Advance Warehouse Arrival:

7–14 days before show opens for inbound shipments.

Insurance Certificate Due:

Often 30 days before move-in to allow verification.

Final Booth Changes:

14 days before show for any layout modifications.

Common Mistakes That Delay Approval or Increase Cost

  • Submitting incomplete layouts without scale or orientation, requiring multiple revisions.
  • Providing expired or mismatched insurance certificates that the venue will reject.
  • Underestimating electrical needs, which leads to emergency orders and premium charges.
  • Missing permit or vendor deadlines, triggering late fees and possible denial of services.

Risks and Consequences of an Incomplete or Incorrect Package

Fines or Penalties: Local fines, stop-work orders
Setup Delays: Late or incomplete booth construction
Denied Access: Venue refusal to allow exhibit opening
Insurance Gaps: Coverage denial for incidents
Contract Breach: Potential organizer remedies
Additional Fees: Premium charges for late services

Practical Tips for Accurate, Efficient Package Preparation
