What the Event Class Package Agreement Is

An Event Class Package Agreement is a written contract that defines the terms for delivering a series of classes, workshops, or recurring events sold as a bundled offering. It typically identifies the parties, scope of services, schedule, fees and payment schedule, cancellation and refund rules, insurance and liability allocations, participant limits, materials or equipment provided, and any exhibitor or vendor responsibilities. The agreement also addresses amendments, governing law, and signature blocks so each party’s obligations and expectations are clear before classes begin.

Why a Formal Package Agreement Adds Value

A clear written package agreement reduces disputes, documents pricing and schedules, and protects both organizers and participants by allocating risk and responsibilities under state contract law and federal e-signature statutes.

Why a Formal Package Agreement Adds Value

Who Typically Prepares and Signs These Agreements

Multiple stakeholders use Event Class Package Agreements to set expectations and manage liability before services start.

  • Event organizers and promoters who sell class packages and manage scheduling and cancellations.
  • Venues and facility managers who need insurance, access, and equipment terms defined in writing.
  • Instructors, freelance teachers, or third-party vendors supplying services under the package.

The agreement also serves as an administrative record for accounting, tax reporting, and dispute resolution.

Step-by-Step: Completing and Executing the Agreement

A simple sequential workflow ensures accuracy from preparation to signed execution and retention.

  • 01
Prepare Draft: Populate parties, services, dates, and fees.
  • 02
Review Terms: Confirm insurance, cancellation, and refund language.
  • 03
Obtain Signatures: Send for signatures via secure e-signature or in-person signing.
  • 04
Distribute Copies: Provide fully executed copies to all parties and retain a master record.

Typical Document Flow for Event Class Packages

This flow describes how a package agreement moves from draft to archived record in a routine engagement.

  • Drafting: Create template and populate event-specific details.
  • Internal Approval: Finance and operations confirm pricing and scheduling.
  • Signing: Send for signatures; use authentication as required.
  • Archival: Store executed document with retention metadata.

Digital Workflow Settings to Use

Configure your digital signing workflow to capture audit data and enforce required steps.

Field Configuration
Signer Authentication Email link or SMS code for identity attribution
Required Fields Mark names, dates, fees, and signature fields as mandatory
Reminders Auto-remind signers after configurable days
Audit Trail Enable IP, timestamp, and action logging

Technical Requirements for eSigning and eStorage

Choose a signing platform that supports secure authentication, tamper-evident signed PDFs, and reliable retention.

  • File Formats: PDF, DOCX supported
  • Integrations: Salesforce, NetSuite, Google Workspace
  • Security: TLS in transit, AES-256 at rest

Confirm the platform meets industry compliance needs (HIPAA/BAA, SOC 2, 21 CFR Part 11) before storing or transmitting sensitive records.

Core Elements Every Agreement Should Contain

A professional Event Class Package Agreement organizes obligations clearly so parties can perform and administrators can enforce terms.

Scope of Services

Describe what the organizer will deliver, session length, format (in-person or virtual), materials supplied, and any exclusions to set clear performance expectations.

Schedule and Capacity

Specify exact dates, start/end times, maximum or minimum participant counts, and procedures for rescheduling or class cancellation.

Pricing and Payment

State the total price, deposit, payment schedule, accepted payment methods, and late payment penalties to ensure predictable revenue collection.

Cancellation and Refunds

Set notice periods, refund calculations, and credit policies for transfers to limit disputes and administrative overhead.

Liability and Insurance

Allocate risk between parties, require certificates of insurance when appropriate, and specify indemnity obligations to manage exposure.

Amendments and Termination

Define how modifications are made in writing, and state termination rights for breach or force majeure events.

Supporting Documents to Attach

Attach exhibits and administrative documents to make the agreement operational and auditable.

Exhibit A: Schedule

Attach a session-by-session schedule that becomes part of the contract for clarity on dates and deliverables.

Insurance Certificate

Attach proof of liability insurance naming venue or organizer as required by the agreement.

Participant Waiver

Include release and assumption-of-risk forms for attendees when activities have physical risk.

Payment Authorization

Attach credit-card or ACH authorization forms when recurring payments are part of the package.

Common Preparation and Execution Pitfalls

  • Vague scope language that leaves room for disagreement about services and what is included.
  • Missing or inconsistent dates and times that cause scheduling conflicts or double bookings.
  • Unclear payment terms that lead to late payments and disputes over refunds.
  • Failure to collect signatures or retain an audit trail that weakens enforceability in a dispute.

Consequences of an Incorrect or Incomplete Agreement

Contract Dispute: Potential breach claims
Insurance Gaps: Increased liability exposure
Tax Reporting: IRC §6721 penalties possible
Refund Liability: Unplanned refunds and chargebacks
Operational Delay: Scheduling and staffing issues

  • The agreement defined class capacity, instructor fees, and equipment responsibilities
  • After execution, the program ran with clear refund rules and documented attendance, reducing refund disputes and simplifying year-end accounting.

Corporate Training Package

A corporate training vendor sold a 10-session leadership package to an HR department

  • The contract specified deliverables, milestones, and performance metrics

Practical Tips for Accurate Agreements

Adopt these best practices to minimize disputes and administrative burden when using package agreements.

Use a standardized template
Standardize terms across programs to reduce review time and ensure consistent treatment of cancellations, refunds, and liability.
Require essential fields
Make names, dates, pricing, and signature fields mandatory to prevent incomplete agreements and weak enforceability.
Keep an audit trail
Capture signer IP, timestamps, and version history to support attribution and record retention where disputes arise.
Document amendments
Require written amendments signed by both parties rather than relying on email confirmations or verbal changes.
