What an Event Concert Runsheet Is and Why It Matters

An Event Concert Runsheet is a detailed operational schedule used by production teams to coordinate tasks, timing, technical cues, personnel and logistics for a concert. It lists the run order, cue timings, contact details, load-in/out instructions, and contingencies so stage managers, technical crew, venue staff and promoters share one authoritative plan.

Key Purposes and Benefits of a Clear Runsheet

A well-prepared runsheet reduces on-site confusion, shortens changeover times, and improves safety by documenting responsibilities and precise cue timing. It creates a single source of truth for technical crews and stakeholders, supports compliance with venue and permit requirements, and preserves an audit trail for post-event reviews.

Key Purposes and Benefits of a Clear Runsheet

Who Prepares and Relies on a Runsheet

Typical roles that create or use the runsheet before and during the event.

  • Production managers and stage managers who sequence performance elements and coordinate crew actions throughout the event.
  • Audio, lighting, and video technicians who need precise cue timings, channel assignments, and equipment notes to execute the show.
  • Promoters, venue operations, and load-in crews who use arrival windows, access instructions, and contact escalation details during setup.

The runsheet is a shared operational tool; distributing a single, confirmed version reduces mistakes and improves show reliability.

Core Elements Every Professional Runsheet Should Include

A complete runsheet blends schedule, technical detail and contact data so teams can act quickly. Include these six elements to cover operational, safety and contractual needs.

Run Order

Sequential list of acts and segments with exact start and end times for each performance element, including encores and breaks.

Cue List

Numbered audio, lighting and video cues with trigger times, responsible crew, and cross-references to channel or console assignments.

Contact List

Key contacts with roles, mobile numbers, radio channels and on-site locations for rapid escalation during technical or safety incidents.

Load-in/Out

Detailed arrival, unloading, parking, and strike instructions including truck sizes, dock access, and door schedule constraints.

Technical Notes

Equipment lists, stage plot references, microphone and DI assignments, generator or power limitations, and any special setup instructions.

Contingency Plan

Fallback procedures for delays, weather, power issues or artist changes, with designated decision-makers and timeline adjustments.

Required Data Fields at a Glance

Event Name: Official event title
Date & Time: Local date and start time
Venue Address: Full street address
Primary Contacts: Names and phone numbers
Load-in Schedule: Arrival windows and door codes
Critical Cues: Numbered audio/lighting cues

Step-by-Step: Create and Finalize a Runsheet

Follow a short sequence to draft, validate, distribute and lock the final runsheet before load-in to ensure everyone has the confirmed plan.

  • 01
Draft: Compile event info, acts, and preliminary cues.
  • 02
Validate: Confirm times and technical requirements with key crew.
  • 03
Distribute: Share the draft with stakeholders for feedback.
  • 04
Lock Final: Publish the confirmed runsheet and note version.

Customize an Online Runsheet Workflow

Configure template fields and routing to match your production review steps and authentication needs.

Field Configuration
Template Create reusable runsheet template per venue
Auto-fill Fields Use automatic detection for date, venue and contact fields
Conditional Fields Show audio cues only when act type requires them
Notifications Email or SMS alerts for version updates

Where to Send the Final Runsheet

Distribute a single confirmed runsheet to core teams and archive the final version for reference during load-in and performance.

  • Production Office: Primary archive for on-site decisions
  • Venue Operations: House manager and security team copies
  • Promoter / Agent: Commercial and contractual visibility
  • Technical Leads: Audio, lighting, stage and video operators

Digital Distribution and Platform Requirements

Choose tools that support common file formats, mobile access and timely notifications so crews can access the runsheet on any device.

  • Integrations: Salesforce, Microsoft 365, Google Workspace
  • File Formats: PDF, DOCX, Excel supported
  • Authentication: Email OTP, SMS code or SSO

Typical Timing and Key Deadlines for a Concert Runsheet

Set and communicate firm deadlines for drafts, tech rehearsals and final publication so operational teams can plan equipment, staffing and access windows.

Final Draft Due:

3 business days before the event for internal review

Tech Rehearsal:

24–48 hours before show to test cues

Load-in Start:

Day-of arrival window established by venue

Doors Open:

Typically 60–120 minutes before show time

Show Start:

Confirmed start time with strict adherence

Milestone Sequence Leading Up to the Performance

Track these numbered milestones from pre-production through strike to keep the team aligned and ensure timely execution.

01

Pre-production Review

Confirm acts, riders, and initial cue estimates

02

Technical Rehearsal

Run full cues with audio and lighting operators

03

Load-in and Setup

Stage, soundcheck and monitor tests completed

04

Performance & Strike

Execute show and rapid post-show load-out

Practical Tips for Accurate and Efficient Runsheet Management

Adopt concise formatting, version control, and clear escalation paths so teams can respond quickly to changes without losing situational awareness.

Use a Single Version Number
Assign a version and publish timestamp for every update. Require stakeholders to confirm receipt and acknowledge changes to reduce conflicting copies during load-in.
Standardize Time Formats
Use a single time format (MM/DD/YYYY and HH:MM AM/PM) and local time zone. Inconsistent formats cause missed cues and staffing errors.
Highlight Critical Cues
Visually mark safety-critical and blackout cues so operators prioritize them. Include margin notes for fallback actions in case of failure.
Maintain an Audit Trail
Record who issued each version and when it was distributed. An audit trail supports post-event analysis and clarifies decisions in disputes.

Common Mistakes to Avoid When Preparing a Runsheet

  • Late changes without version control leading to multiple conflicting on-site copies and confusion.
  • Missing contact or radio channel information that delays escalation during technical faults or safety incidents.
  • Ambiguous cue descriptions such as 'music in' instead of exact cue number or time.
  • Failing to confirm venue or promoter restrictions like curfew or noise limits before finalizing schedule.

Risks and Potential Consequences of an Incorrect Runsheet

Safety Incidents: Increased injury risk
Delays: Show start pushed back
Technical Failures: Missed cues and equipment damage
Contract Breach: Artist or vendor penalties
Permit Violations: Fines or operational restrictions
Financial Loss: Refunds and overtime costs

Real-World Runsheet Use Cases

Two typical scenarios show how a clear runsheet improves coordination and reduces risk for different production sizes.

Festival Stage Run

A festival production compiles a master runsheet aligning three stages and shared tech resources.

  • Tight stage rotations require exact load-in windows.
  • The master runsheet synchronized stage managers and equipment crews, reducing changeover time by minimizing cross-stage conflicts and clarifying shared audio feed handoffs.

Club Tour Stop

A touring artist provides a standardized runsheet template to venue staff and local crew.

  • Local crew adapt lighting cues to house rig.
  • Using a consistent template across dates shortened setup time, ensured artist rider items were addressed, and improved on-time performance across the tour.

How a Runsheet Differs from Related Production Documents

Compare the runsheet to adjacent documents so teams assign responsibilities correctly and avoid duplicative content.

Criteria Runsheet Stage Plot
Purpose operational schedule physical layout
Primary User stage/production crew technical designers
Timing event timeline pre-production reference
Typical Contents cues, contacts, timing rigging, mic placements
