  • Failing to list setup and teardown windows with contact names, which can trigger venue access denials or overtime fees.
  • Missing insurance requirements or COI details, leading venues to refuse installation or demand additional coverage at short notice.
  • Using inconsistent names or business entities across documents, which can complicate enforcement and tax reporting.

Key Risks and Possible Consequences

Insurance Gap: Venue denial of access
Incorrect Dates: Lost deposits or missed event
Unclear Scope: Disputed payments or extra charges
No Signatory Authority: Agreement voidable by counterparty
Missing COI: Venue requirements unmet
Late Changes: Higher labor and material costs

Practical Tips for Accurate Completion

Adopt consistent habits to speed approvals and reduce disputes when preparing event decoration agreements.

Use Clear, Measurable Descriptions
Describe each item with dimensions, quantities, fabric types, and color codes. Attach photos or diagrams as exhibits and label them consistently to avoid interpretation errors at delivery and acceptance.
Record Logistics Precisely
Specify load-in doors, parking, elevator reservations, and on-site contacts. Stipulate who provides ladders, lifts, and power to prevent last-minute operational delays and additional charges.
Align Insurance and Indemnity
Include minimum insurance limits, certificate of insurance recipients, and mutual indemnity language where appropriate. Confirm venue endorsements and preserve COI copies with the contract.
Standardize Change Orders
Require written change orders signed by authorized parties with stated cost and schedule impacts. Specify turnaround for approvals to avoid unapproved work and disputed invoices.
