What the Event Exhibitor Package Covers

An Event Exhibitor Package is a consolidated set of documents and forms that govern the relationship between an event organizer and an exhibiting company. It typically includes the exhibitor agreement, booth order form, floor plan, insurance requirements, payment terms, exhibitor rules, shipping and move-in instructions, and contact information for show services. The package establishes operational responsibilities, timelines, and compliance requirements needed to secure booth space and access event services while creating a single reference set for pre-event administration and onsite management.

Why a Clear Exhibitor Package Matters

A well-structured Event Exhibitor Package reduces misunderstandings, speeds onboarding, and sets enforceable expectations for both organizers and exhibitors. It centralizes obligations—insurance, payments, booth specs—and supports compliance with venue and local safety requirements.

Why a Clear Exhibitor Package Matters

Who Typically Completes the Package

The Event Exhibitor Package is completed by parties directly involved in preparing for an exhibition: the organizer and the exhibiting company must both provide and confirm required details before move-in.

  • Event organizers and show operations teams who manage booth allocation, venue rules, and logistics.
  • Exhibiting companies’ booth coordinators who arrange layout, electrical, shipping, and insurance.
  • Venue managers or service contractors who verify compliance with fire, safety, and load-in protocols.

Final review and signature are usually completed by an authorized representative from the exhibitor and the event operations team to confirm compliance with event policies.

Primary Signers and Their Roles

Event Manager

An Event Manager or Show Director signs on behalf of the organizer to confirm booth allocations, venue-specific conditions, and enforcement rights. Their signature binds the organizer to vendor service contracts, rules enforcement, and payment timelines in the package.

Exhibitor Representative

A named Exhibitor Representative (owner, director, or authorized agent) signs to accept exhibit space, pay associated fees, confirm insurance coverage, and acknowledge adherence to venue and event safety and conduct rules.

Core Components of a Professional Exhibitor Package

A professional Event Exhibitor Package organizes all required items into clear sections so exhibitors can complete onboarding reliably and organizers can enforce standards consistently.

Exhibitor Agreement

Standard terms and conditions covering booth assignment, cancellation policy, indemnity, insurance minimums, and organizer liability limitations.

Booth Order Form

Technical specifications for booth size, power, furniture, flooring, carpet, and additional service orders including pricing and lead times.

Insurance Requirements

Minimum certificate of insurance wording, policy limits, additional insured endorsements, and submission deadline for proof of coverage.

Payment and Billing

Deposit, final payment schedule, accepted payment methods, late fee policy, and refund terms for cancellations or downsizing.

Move-In / Move-Out Rules

Logistics timeline, loading dock procedures, labor rules, and penalties for late move-out or damage to venue property.

Safety and Conduct Rules

Fire marshal requirements, prohibited items, noise and demo restrictions, and exhibitor conduct expectations while on site.

Step-by-Step: Completing the Exhibitor Package

Follow these four stages to assemble and submit a complete Event Exhibitor Package; each step reduces the risk of delays or denied access.

  • 01
Prepare Documentation: Gather insurance, tax ID, floorplans, and proof of payment.
  • 02
Fill Forms: Complete booth order, exhibitor agreement, and contact fields.
  • 03
Upload Attachments: Attach COI, logos, and equipment specs in required formats.
  • 04
Submit and Confirm: Send package, obtain organizer confirmation, and save submission receipt.

How to Customize the Package for Online Submission

Configure the online workflow to match your event’s approval steps and required attachments.

Field Configuration
Template Selection Choose a base exhibitor template and add organization-specific clauses.
Conditional Fields Display insurance fields only when booth value exceeds a threshold.
Payment Integration Connect ACH or card processor and define deposit/final payment flows.
Notifications Set email reminders for missing attachments and upcoming deadlines.

Where to Send the Completed Package

Use the following submission channels and confirm receipt to avoid last-minute disputes.

  • Organizer Portal Upload: Primary method: upload signed package to the event's exhibitor portal.
  • Email Submission: Send to the operations or exhibitor services email address if portal unavailable.
  • Onsite Submission: Bring printed originals to the Exhibitor Services desk during move-in.
  • Third-Party Vendor: Submit booth orders or labor requests through the designated service contractor.

Distribution Channels and System Requirements

Organizers commonly distribute exhibitor packages via event portals, email, and integrated document platforms; choose the channel that supports attachments, signatures, and traceable receipts.

  • Email: Accept attachments up to organizer-specified size limits.
  • Event Portal: Supports structured forms, uploads, and status tracking.
  • Document Platforms: Use solutions with audit trails and integrations (Salesforce, NetSuite).

Common Deadlines and Typical Due Dates

Event timelines vary; below are typical deadlines organizers include in exhibitor packages to ensure timely planning and compliance.

Contract Return:

Due within 14 days of receipt to secure assigned booth space.

Deposit/Payment:

Deposit usually due on contract return; final payment due 30 days before event.

Insurance Certificate:

Provide COI at least 14 days before the first move-in date.

Booth Layout:

Submit final layout and custom structure specs 21 days prior to move-in.

Material Handling Orders:

Place shipping and labor orders 14–21 days before the event to avoid surcharges.

Key Milestones from Agreement to Move-In

A concise milestone sequence helps organizers and exhibitors track progress from contract to site access.

01

Contract Issued

Organizer issues the package and booth assignment after application review.

02

Contract Signed

Exhibitor signs and returns contract, triggering booth reservation and invoice generation.

03

Logistics Confirmed

Insurance, shipping, and labor orders are finalized and acknowledged by service vendors.

04

Move-In Authorization

Organizer issues final move-in instructions and badge access to authorized personnel.

Common Preparation Pitfalls to Avoid

  • Incomplete insurance certificates submitted without 'additional insured' language can delay booth access and create compliance disputes.
  • Ordering incorrect booth dimensions or overlooking height restrictions results in denied custom structures and last-minute redesign charges.
  • Missing or unsigned contracts leave space assignments tentative and can allow reallocation to other buyers.
  • Late equipment or labor orders often incur higher rates and may not be fulfilled before move-in deadlines.

Consequences of an Incomplete or Incorrect Package

Late Payment: Late fees applied
Incorrect Booth Size: Reconfiguration charges
Missing Insurance: Access denied
Unauthorized Subletting: Contract termination
Non-Compliance with Fire Code: Fines or removal
Unsigned Documents: No enforceable agreement
