What an Event Golf Function Sheet Records

An Event Golf Function Sheet is a single, structured form used to record all operational, logistical, and commercial details for a golf tournament or group outing. It consolidates event name and date, contact and billing information, course and tee-time arrangements, format and scoring, player lists, food and beverage orders, audiovisual and cart needs, sponsorship placements, weather contingencies, and signature blocks for both the client and venue representative. Facilities use it to prepare staffing, inventory, course setup, billing, and day‑of coordination; clients use it to confirm expectations and guarantees.

Why a Clear Function Sheet Matters

A complete Event Golf Function Sheet reduces miscommunication, centralizes decisions, and documents guarantees for billing and liability. It improves on-site readiness, shortens setup time, and provides an auditable record when finalized and signed.

Why a Clear Function Sheet Matters

Primary Users and How They Interact with the Sheet

Typical users include venue event managers, tournament directors, corporate planners, and third‑party vendors who share operational responsibility.

  • Venue/Event Manager — Coordinates staffing, cart assignments, course setup, and vendor instructions for execution.
  • Tournament Director — Provides format, scoring rules, player lists, sponsorship placements, and special requests.
  • Catering or F&B Manager — Uses menu counts, dietary restrictions, service times, and bar needs to finalize orders.

The sheet serves as the single source of truth during pre‑event planning and as the reference for day‑of staff and post‑event billing.

Step‑by‑Step: Preparing and Finalizing the Sheet

A concise workflow ensures timely approval and accurate setup.

  • 01
Gather Details: Collect contacts, format, player list, and menu choices.
  • 02
Complete Sheet: Populate every required field and attach menus or maps.

Typical Routing and Approval Flow

A transparent routing path reduces signer friction and ensures auditability.

  • Send to Client: Transmit the sheet for review via email or secure link.
  • Client Review: Client checks logistics, guest counts, and financial terms.
  • Sign Electronically: Client signs; platform records timestamp and identity metadata.
  • Venue Receives Copy: Signed sheet routed to operations, catering, and accounting teams.

Configure these settings when you create an electronic routing workflow for the function sheet.

Technology and File Requirements

  • Authentication: Email verification or SMS OTP

Use common formats and available integrations to automate routing and reduce manual re‑keying across catering, accounting, and operations systems.

Common Preparation Pitfalls to Avoid

  • Submitting an incomplete player list causes mistaken invoices and scoring errors for flights or contests.
  • Vague menu selections or missing dietary notes lead to shortages, waste, or last‑minute substitutions.
  • Late final counts trigger shortfall charges and excess staffing or food costs for the venue.
  • Unclear billing contacts or PO numbers delay payment and may require reissuing invoices.

Typical Financial and Operational Risks

Late Cancellation: Venue may retain deposit or levy cancellation fee.
Shortfall Guarantee: Client may pay for guaranteed minimum guest count.
Incorrect Billing: Mismatched names or TINs can delay payment processing.
Allergy Liability: Failure to record allergies raises food safety risk.
Damage Charges: Course or property damage may result in repair fees.
No‑show Penalties: No‑show players can trigger per‑player fees.
