What the Event Matchmaking Agreement Is and When It Applies

An Event Matchmaking Agreement is a written contract between an event organizer and participating parties that governs the process for arranging timed meetings, lead introductions, or sponsor matchmaking. It specifies services provided, scheduling rules, data-sharing permissions, cancellation terms, confidentiality, and liability allocation for scheduled meetings during an event or conference. The agreement establishes expectations for organizer responsibilities, participant obligations, how contact details will be used, and any fees or credits tied to missed appointments. It is typically executed before matchmaking services begin and may be signed electronically under U.S. e-signature laws.

Why a Clear Matchmaking Agreement Matters

A written agreement reduces disputes by defining responsibilities, timelines, and data-sharing consent, and clarifies financial and confidentiality expectations between event organizers, sponsors, and attendees.

Why a Clear Matchmaking Agreement Matters

Who Commonly Signs an Event Matchmaking Agreement

Typical signers include event organizers, exhibitors or sponsors, individual attendees, and third-party matchmaking vendors who coordinate meetings.

  • Event Organizers — Parties running the conference or matchmaking program and responsible for scheduling and dispute resolution.
  • Sponsors / Exhibitors — Companies purchasing meetings or leads that agree to payment, attendance, and confidentiality obligations.
  • Attendees / Delegates — Individuals who opt into matchmaking and consent to share contact details for scheduled meetings.

Each signer should confirm authority to bind their organization and consent to the specified use of personal data and scheduling rules.

Core Elements to Include in a Professional Agreement

A comprehensive Event Matchmaking Agreement covers parties, scope, scheduling mechanics, data handling, fees, cancellation and indemnity language, and signature blocks for all parties.

Common Mistakes to Avoid When Preparing the Agreement

  • Leaving scheduling rules undefined, which creates disputes over time zone interpretation and meeting lengths.
  • Failing to require signer authority, resulting in unsigned obligations or later challenges to enforceability.
  • Skipping a clear cancellation and refund policy, which leads to sponsor disputes and ad hoc crediting.
