What the Event Planning BEO Packet Is

The Event Planning BEO Packet (Banquet Event Order packet) is a standardized record used by venues, caterers, and event planners to capture all operational, financial, and logistical details for a single event. It consolidates venue specifications, catering orders, AV and setup requirements, staffing, timelines, permit needs, billing terms, and signature blocks to create a single authoritative instruction set for execution.

Why a Complete BEO Packet Matters

A complete BEO reduces execution risk, clarifies responsibilities across vendors, and creates an auditable contract attachment that supports invoicing, compliance, and dispute resolution under ESIGN and UETA frameworks.

Why a Complete BEO Packet Matters

Who Handles and Relies on the BEO Packet

The BEO Packet is used by multiple stakeholders to coordinate event delivery and record contractual terms.

  • Event planners: consolidate client requirements, confirm vendor assignments, and approve final budgets before the event.
  • Venue operations managers: use the BEO to allocate rooms, staffing, AV resources, and security for the scheduled event.
  • Catering and service vendors: follow menu, dietary restrictions, service times, and setup footprints documented in the packet.

Each stakeholder relies on the packet as the operational reference and for post-event reconciliation and invoicing.

Step-by-step: Preparing and Finalizing a BEO Packet

Follow these sequential steps to create, confirm, and archive a usable BEO packet that minimizes last-minute changes.

  • 01
Collect Details: Gather event name, dates, times, guest counts, and contact info from the client.
  • 02
Confirm Logistics: Record room setup, AV, furniture, load-in windows, and vendor access instructions.
  • 03
Finalize Catering: Specify menus, portion counts, dietary needs, service schedule, and staffing levels.
  • 04
Sign and Distribute: Obtain authorized signatures, circulate copies to operations and vendors, and archive the packet.
