What an Event Planning Rehearsal Dinner document is

An Event Planning Rehearsal Dinner is a written planning and confirmation document used by hosts, caterers, venues, and vendors to coordinate the pre-wedding dinner that precedes a wedding. The form typically records date, time, venue access, guest counts, menu selections, vendor contact details, setup and teardown windows, audio/visual needs, payment terms, and any special accommodations. It functions as both a logistical checklist and a short-form contract that clarifies responsibilities, timelines, and costs between the party hosting the rehearsal dinner and service providers.

Why a written rehearsal dinner plan matters

Use an Event Planning Rehearsal Dinner document to reduce misunderstandings, confirm vendor and venue commitments, document payment terms and accommodations, and create an auditable record for approvals and billing. Clear written details lower day-of risk and support timely execution.
