What the Event Production Stage Manager Contract Covers

The Event Production Stage Manager Contract is a written agreement that sets the working relationship between an event producer or production company and a contracted stage manager who oversees show calling, crew coordination, timing, and on-site logistics. It converts negotiated responsibilities into enforceable terms by specifying scope of services, rehearsal and call schedules, compensation and overtime rules, equipment custody, insurance and indemnity obligations, confidentiality and media permissions, termination mechanics, and dispute resolution. Use this template for one-off events, multi-date tours, or seasonal engagements and adapt it to venue rules and applicable state law.

Why a Written Contract Matters for Stage Management

A formal contract reduces ambiguity about duties, pay, and liability, protects both producer and stage manager, and creates a clear record for insurance and payroll. It also streamlines on-site decision-making and supports compliance with venue and regulatory requirements.

Why a Written Contract Matters for Stage Management

Who Typically Completes This Agreement

This contract is completed when producers, venues, or independent stage managers need a documented agreement covering services, schedules, and liability.

  • Production companies — hiring freelance or staff stage managers for concerts, festivals, tours, or theatrical runs.
  • Independent stage managers — contracting scope, rehearsal obligations, travel, and fee terms for each engagement.
  • Venues and promoters — incorporating house rules, credentialing, access procedures, and load-in logistics into the contract.

Before signing, confirm the signer authority for each party, attach insurance certificates, and include any venue-specific appendices or rider pages.

Core Contract Sections to Include

Well-structured sections turn negotiation points into actionable obligations covering responsibilities, schedule, payment, equipment, liability, and termination tailored to live-event operations.

Scope of Services

Define specific duties such as show calling, cueing, crew supervision, documentation, and administrative deliverables to avoid scope disputes during production.

Schedule & Calls

List performance and rehearsal dates, call and load-in times, overtime triggers, and expected availability for tech rehearsals and change calls.

Compensation

Specify base fee, payment milestones, invoicing instructions, overtime rates, travel reimbursements, and withheld amounts if applicable.

Equipment & Tools

State responsibility for rented or owned equipment, inventory procedures, labeling, storage, repair liability, and replacement costs.

Insurance & Liability

Require minimum insurance limits, indemnification obligations, certificate of insurance deadlines, and who will be listed as additional insured.

Termination & Replacement

Set notice periods, cure windows for material breach, pro rata payment for partial services, and rights to hire temporary replacements.

Effective and Performance Dates:

Effective date activates obligations; list all performance and rehearsal dates explicitly.

Payment Schedule Deadlines:

Specify invoice due dates, final settlement timing, and late fee triggers.

Insurance Certificate Delivery:

Require COI delivery before first call and note policy expiry dates.

Notice and Termination Periods:

State required advance notice for termination and substitute staffing.

Retention and Access Requests:

Document where signed copies are stored and how to request records.

Common Preparation Mistakes to Avoid

  • Vague scope descriptions lead to disputes over duties, overtime entitlement, and whether setup or tear-down tasks are included in the fee.
  • Not verifying insurance coverage and expiration dates before first call can leave producers exposed to uninsured liability following incidents.
  • Failing to specify equipment custody and rental responsibility increases the likelihood of loss disputes and surprise repair bills after the event.
  • Omitting clear change-order and cancellation procedures often results in unpaid hours, last-minute staffing shortages, and conflict over fees.

Immediate Risks of Incorrect or Missing Terms

Breach Liability: Monetary damages and indemnity exposure.
Delayed Payment: Late fees, collections, and strained relationships.
Insurance Gaps: Out-of-pocket loss exposure for incidents.
Venue Penalties: Fines, denied access, or event shut-down.
Reputational Risk: Lost bookings and referrals after disputes.
Tax Reporting: Incorrect contractor reporting and compliance issues.
