What an Event Runner Agreement Is

An Event Runner Agreement is a written contract that sets out the responsibilities, compensation, logistics, and liability allocation between an event organizer (client) and a person or company hired to operate or manage event-day tasks. Typical duties include site setup and teardown, on-site coordination, vendor liaison, attendee management, and equipment handling. The document defines the scope of work, performance standards, payment terms, insurance requirements, termination rights, and dispute resolution so both parties understand expectations and remedies before an event takes place.

Why this Agreement Matters for Event Operations

A clear Event Runner Agreement reduces misunderstandings, sets measurable deliverables, and assigns risk to the appropriate party. It protects payment expectations, limits liability exposure, and supports insurance and compliance checks.

Why this Agreement Matters for Event Operations

Who Typically Uses an Event Runner Agreement

Use this agreement whenever a defined set of on-site duties, hours, or deliverables are expected and payment or liability needs to be secured in writing.

  • Event organizers and promoters who hire day-of staff to manage logistics and vendor coordination.
  • Venues contracting third-party personnel to ensure vendor compliance and on-site operations.
  • Freelance event runners, production crews, and staffing agencies documenting scope, hours, and compensation.

Who Signs and Why

Event Organizer — Director

Typically the contracting party responsible for funding, scheduling, and approving site access. They sign to confirm scope, payment terms, insurance requirements, and approval of substitutions or changes during the event.

Event Runner — Contractor

The individual or company who accepts operational responsibility for event tasks. Signing confirms acceptance of duties, acknowledgement of hazards, agreement to indemnify or procure insurance, and consent to the stated payment terms.

Essential Sections to Include

A professional Event Runner Agreement organizes critical terms so responsibilities, payment, and risk management are explicit and enforceable.

Scope of Services

Specify precise duties, hours, shift scheduling, setup and teardown tasks, reporting lines, and any deliverables such as checklists or crew rosters to avoid scope creep and disputes.

Compensation

State payment amount, hourly or flat-rate calculation, invoice timing, accepted payment methods, retained amounts for damages, and late-payment remedies to set clear financial expectations.

Insurance and Indemnity

Require liability insurance limits, name additional insureds when needed, specify indemnity scope for negligence or third-party claims, and list certificates required before event start.

Termination and Cancellation

Define cancellation windows, force majeure clauses, prorated refunds, and rights to terminate for breach or safety concerns, plus notice requirements for each party.

Liability Limits

Include damage caps, exclusions for consequential losses, and any participant or attendee liability waivers that affect the runner's exposure.

Signatures and Dates

Include signature blocks for all parties, printed names and titles, dates, and any witness or notary acknowledgements required by the jurisdiction or venue.

05

Record Audio/Video

If RON used, retain A/V per state rules

06

Notary Journal

07

Attach Acknowledgement

Common Preparation Errors to Avoid

  • Vague scope language that leaves start and end times undefined, creating disputes about expected duties and overtime.
  • Missing insurance proof or incorrect policy limits that block venue access or leave parties exposed to third-party claims.
  • No cancellation clause or unclear refund mechanics, causing disagreement over compensation when events cancel or reschedule.
  • Using unsigned or initial-only pages for material amendments, which can make enforcement difficult in a dispute.

Risks of Incomplete or Incorrect Agreements

Payment Disputes: Delayed or withheld payments
Liability Exposure: Uninsured claims
Venue Denial: Refusal to permit access
Breach Claims: Contract litigation
Reputational Harm: Public complaints or reviews
Enforceability Issues: Unsigned or vague terms
