What the Event Selections Booklet Is

The Event Selections Booklet is a structured form used to collect attendee preferences, menu choices, session selections, and ancillary services for an event. It consolidates options, pricing, dietary restrictions, and logistical selections so organizers receive a single standardized record for planning, billing, and supplier coordination.

Why a Standardized Booklet Matters

Using an Event Selections Booklet reduces errors, centralizes decisions, and creates a single source of truth that simplifies ordering, invoicing, and day-of execution while preserving a clear audit trail of selections.

Why a Standardized Booklet Matters

Who Typically Completes This Booklet

Event organizers, catering coordinators, corporate planners, and group hosts commonly use the Event Selections Booklet to record attendee choices before an event.

  • Corporate event planners capturing attendee meal and session selections for internal billing and audits.
  • Hotels and caterers using the booklet to generate purchase orders and prepare accurate meal counts.
  • Educational or association event managers collecting continuing education session choices and special accommodations.

The booklet standardizes input across stakeholders, reducing follow-up questions and late changes that affect costs and logistics.

Stepwise Process to Complete the Booklet

Follow these steps in order to collect selections efficiently and produce a consolidated output ready for fulfillment and invoicing.

  • 01
Prepare the Template: Confirm event codes, session titles, and pricing before distribution.
  • 02
Distribute to Attendees: Send electronically or provide a printed booklet with a clear submission deadline.
  • 03
Collect Responses: Aggregate raw responses daily and flag incomplete entries for follow-up.
  • 04
Lock and Export: Freeze choices at the cutoff, export a consolidated report for vendors.

How Submission and Fulfillment Flow

This flow shows the typical path from attendee selection to vendor execution and billing.

  • Attendee Submission: Attendee completes booklet via web form or paper and confirms selections.
  • Organizer Review: Organizer validates entries, resolves conflicts, and confirms counts.
  • Vendor Fulfillment: Caterers and suppliers receive consolidated counts and special instructions.
  • Billing and Audit: Final invoice generated and selection records archived for audit.
