What an Exhibitor Information Form Is

An Exhibitor Information Form collects standardized details from organizations or individuals exhibiting at a trade show, conference, or similar event. It typically requests company name, contact person, mailing and billing addresses, booth number preferences, electrical and internet requirements, insurance and licensing confirmations, marketing or sponsorship options, logos and branding files, and any special accommodations. Organizers use the completed form to confirm space assignments, generate invoices, coordinate logistics, and ensure compliance with venue rules. Completed forms often become part of the exhibitor agreement and are retained for event administration and auditing purposes.

Why accurate exhibitor intake matters

A complete Exhibitor Information Form streamlines logistics, reduces invoice and setup errors, and ensures adherence to venue and insurance requirements. Accurate submissions speed space assignment, minimize last-minute fees, and provide documentation needed for event audits and regulatory compliance.

Why accurate exhibitor intake matters

Who typically completes an Exhibitor Information Form

Typical users who fill out Exhibitor Information Forms include event managers, marketing staff, and operations teams responsible for exhibition logistics.

  • Event organizer staff who manage contracts, space allocation, and utilities coordination.
  • Exhibitor marketing teams providing logos, branding, and promotional package selections.

Non-exhibitor stakeholders such as venue managers, sponsors, and service contractors also reference completed forms for compliance and operational planning.

Core sections in a professional Exhibitor Information Form

Six essential components appear in a professional Exhibitor Information Form to ensure clarity, compliance, and smooth logistics for both exhibitor and organizer.

Contact Details

Full legal company name, primary contact, position, phone number, and direct email. Accurate contact fields are critical for notices, emergency communications, and invoicing; include a backup contact.

Booth Requirements

Specify booth size, preferred location, corner or inline preference, and any special build needs. Include power, internet, rigging, and floor load details to avoid installation delays.

Billing Information

Provide billing name, address, tax ID or EIN, and purchase order number if applicable. Clear billing entries prevent invoice disputes and expedite payment processing.

Insurance & Licenses

List required insurance certificates, exhibitor policy numbers, and any professional licenses. Confirm policy limits meet the venue and organizer minimums to avoid being denied access.

Marketing Assets

Upload logo files, brand guidelines, social handles, and one-line descriptions. Specify preferred sizes and color variants to ensure correct reproduction on materials and signage.

Special Requests

Document ADA accommodations, freight handling needs, lead retrieval rentals, and promotional restrictions. Early notification increases the likelihood that organizers can meet these needs.

Key compliance and security items to check

Encryption: TLS 1.2/1.3; AES-256 at rest.
Audit Trail: Capture timestamps, IPs, and actions.
HIPAA Compliance: BAA required for PHI handling.
Access Controls: Role-based permissions and 2FA.
File Integrity: Use tamper-evident PDFs and hashes.
Retention Policy: Store per IRS and HIPAA rules.

Practical tips for accurate and efficient completion

Recommended practices to reduce errors, accelerate approval, and maintain compliance when filling out exhibitor intake forms and attachments.

Confirm legal name and tax ID
Verify the exhibitor's legal entity name and EIN or tax ID against IRS records before accepting billing information. Incorrect tax identifiers can trigger backup withholding and complicate 1099 reporting if applicable.
Provide consistent logo specifications
Submit vector or high-resolution PNG images, specify color profiles, and include size requirements. Consistent files prevent production delays and mismatches on printed materials, tradeshow apps, and signage where artwork constraints are strict.
Provide insurance certificate early
Upload required certificates with policy numbers and dates, naming the organizer and venue as additional insured if requested. Late or missing insurance often blocks access to move-in or triggers vendor refusal for certain services.
Keep exhibitor contacts updated
Designate primary and backup contacts, and immediately notify organizers of personnel or contact changes. This reduces missed notices about setup changes, safety briefings, or billing issues during critical pre-event periods.
