What the Exhibitor Sales Order Form Is and when it’s used

An Exhibitor Sales Order Form documents an exhibitor’s request for booth space, services, products, and related event items at a trade show or conference. It records exhibitor contact data, booth number preference, itemized products or services, quantities, unit pricing, taxes, shipping instructions, and payment terms. When signed by the exhibitor and accepted by the organizer, it ordinarily creates a binding commercial agreement that governs space allocation, fees, delivery deadlines, and cancellation rules. Many organizers accept electronically completed and signed orders under U.S. e-signature law when the four legal validity elements are met.

Why a clear Exhibitor Sales Order Form matters

A well-structured order form reduces disputes, speeds booth assignment, and makes invoicing consistent. Clear line items and payment terms protect both exhibitor and organizer, reduce administrative back-and-forth, and establish the operational milestones that event logistics depend on.

Why a clear Exhibitor Sales Order Form matters

Who completes and relies on the Exhibitor Sales Order Form

Typical users include exhibitor reps who order space and services, event sales teams who record commitments, and operations staff who schedule logistics.

  • Exhibitor representatives placing orders for booths, displays, or services before show deadlines.
  • Event sales and account teams recording accepted orders and assigning booth space.
  • Logistics and production teams scheduling setup, shipping windows, and on-site services.

Each stakeholder uses the form differently: sales for revenue recognition, operations for setup, and finance for invoicing and reconciliation.

Core components of a professional Exhibitor Sales Order Form

A complete form groups identification, order details, financial terms, and authorization into clear sections so teams can process, confirm, and fulfill orders without ambiguity.

Header

Include event name, organizer contact, and order number so reference and tracking are consistent across sales, operations, and finance teams.

Exhibitor Details

Capture full legal name, billing and shipping addresses, contact person, phone, and email. Accurate contact data prevents delivery and invoicing errors.

Booth Information

Specify booth number or size, placement preferences, and any special installation or electrical requirements that affect logistics and vendor scheduling.

Line Items

Provide each product or service with description, SKU, quantity, unit price, and extended price. Itemization supports accurate invoicing and inventory reconciliation.

Payment Terms

State deposit requirements, due date (MM/DD/YYYY), accepted payment methods, and late-fee schedule so financial obligations are clear and enforceable.

Signature Block

Include printed name, title, signature field, and date. For electronic signing, include a signer authentication method and a completion audit trail.

Saving, exporting, and supporting files to attach

Provide delivery-ready files and common exports so accounting and operations can use the data in billing, scheduling, and reporting systems.

PDF Final Copy

Save a flattened PDF for archives and printing; include the audit trail or certificate with electronically signed PDFs for evidentiary value.

Editable DOCX

Keep an editable Word version for template updates and manual corrections; avoid using DOCX as the archival master for signed orders.

CSV / Excel Export

Export line-item data to CSV or Excel for import into accounting or inventory systems, ensuring field mapping matches your ERP or spreadsheet layout.

Supporting Attachments

Attach floor plans, insurance certificates, proof of payment, and display specs to the order for operations and safety review.

How the digital submission workflow typically flows

A clear electronic workflow reduces friction and provides an auditable record of each action from submission through acceptance and fulfillment.

  • Upload form: Organizer uploads template or exhibitor fills online.
  • Place fields: Signer fields, dates, and optional checkboxes are configured.
  • Authenticate signer: Email link, SMS code, or stronger authentication is used.
  • Capture audit trail: System records timestamps, IPs, and completion details.

Typical configuration settings for online completion

Use these common settings when preparing a form for electronic completion to match standard exhibitor workflows.

Field Configuration
Sender account Organizer email and default signer identity
Field placement Signature, date, and numeric total fields
Conditional logic Show fields only when options selected
Authentication Email link, SMS code, or multi-factor

Technical considerations for eSubmission and integrations

Confirm supported file types, authentication methods, and integrations before enabling online submission.

  • Integrations: Salesforce, NetSuite, Google Workspace
  • File formats: PDF, DOCX, CSV
  • Authentication: Email, SMS, KBA

Choose a platform that maps fields to your back-office systems to automate invoicing and logistics handoffs without manual rekeying.
