What the Expense Reimbursement SOP Covers

An Expense Reimbursement SOP documents the standardized process employees follow to submit, certify, and receive payment for business expenses. It defines eligible costs, required substantiating documents, approval routing, timelines for submission and payment, and recordkeeping expectations. The SOP aligns employee behavior with tax and payroll rules, reduces processing errors, and creates a clear audit trail for internal controls and external reviewers.

Why a Formal SOP Matters

A formal SOP ensures consistent handling of expenses, reduces disputes, and protects the organization during audits and tax reviews.

Tax Withholding: Incorrect tax treatment
Audit Exposure: Increased audit risk
Duplicate Payments: Overpayment risk
